Job Description
Are you looking to start or grow your career with a professional, supportive team at a growing company? We are seeking a detail-oriented, bilingual (English/Spanish) Production Office Administrator to join our production office team at our Seatrade South facility on the waterfront in New Bedford, Massachusetts. In this role, you will support the Sales team by helping process and organize customer orders, maintain accurate records, and communicate with internal teams and customers to ensure orders are handled correctly and on time. Strong Microsoft Office skills, especially Outlook, are important. Previous office experience is helpful, and experience in food manufacturing or the seafood industry is a plus.
Key Responsibilities:
- Serve as a key point of contact for Sales staff and share updates with customers as needed.
- Prepare and review domestic and international shipping documents, including airway bills and order confirmations.
- Respond to customer questions in a timely, professional, and friendly manner.
- Maintain and update shared inventory files and other sales-related records.
- Communicate with customers to gather expected order information when needed.
- Organize customer orders from entry through fulfillment, including data entry, inventory allocation, release coordination, freight coordination, and distribution of supporting documents.
- Assist with documentation for frozen shipments.
- Enter purchase and sales orders into ERP accounting systems as needed.
- Support accounting activities, including invoicing.
- Provide customers with order confirmations, required documentation, and shipment updates.
