Job Description

Office Manager Airtight Energy Consulting, Inc. is a small but growing company that provides energy code assistance, HERS ratings, Passive House consulting and verification, and sustainability consulting to developers, architects, contractors and others involved in the design and construction of multifamily buildings, single family homes, and commercial buildings. Our office is located in The Commons Workspace at 17 New South St, Northampton. This co-working space offers dedicated desks in an open workspace, semi-private workspaces, private offices, a conference room, and a full kitchen. This 20-25 hour/week position will focus on managing the fiscal, HR, and facilities needs for Airtight Energy Consulting and The Commons Workspace. This position requires a reliable and personable individual that is detail-oriented and flexible. Fiscal Responsibilities Preparing and sending invoices Receiving and depositing checks Following up with clients that haven't paid Collecting and organizing receipts Reconciling revenue and expenses against bank account Processing expense reimbursement requests Human Resources Responsibilities Introducing new staff to health/dental/retirement benefits Tracking and processing changes to benefits Preparing monthly retirement contributions Approving timesheets and leave requests Assisting with the hiring process•screening applicants, scheduling interviews Contract Management Responsibilities Preparing service agreements Following up with clients that haven't signed their agreement Setting up new projects in our project management software Updating pricing due to inflation periodically Working with staff to keep project data up to date Facilities Responsibilities Responding to The Commons Workspace potential member inquiries Giving tours of the facility to potential members Providing feedback to members about noise or other community issues Overseeing the cleaning, supplies, and maintenance of the space Tracking and confirming payments from members
Qualifications:
Bachelors degree or equivalent experience Previous experience with fiscal, human resources, and/or facilities management Organized and detail-oriented Strong written and verbal communication skills Understanding of fiscal basics•accounts receivable, accounts payable, etc Ability to work in the office 3-5 days a week.
