This role is essential in ensuring smooth administrative workflows, maintaining efficient communication channels, and supporting the overall productivity of our team. The ideal candidate will bring strong organizational skills, technical proficiency, and a proactive attitude to foster a welcoming and well-managed workspace. As an Office Manager, you will serve as the backbone of our office, coordinating administrative tasks and providing exceptional support to staff and clients alike. Duties Manage office operations, including supply procurement, equipment maintenance, and facility upkeep to ensure a functional work environment Oversee front desk responsibilities such as greeting visitors, handling multi-line phone systems, and managing incoming inquiries with professionalism and courtesy Maintain accurate records through data entry, filing systems, and spreadsheets using productivity software like Microsoft Office and QuickBooks Coordinate calendar management and schedule appointments for staff members, ensuring efficient time management Provide exceptional customer support by addressing client needs promptly via phone or email, maintaining positive client communication Support administrative functions such as proofreading documents, word processing, and preparing reports or presentations Assist with personal assistant tasks when needed, including organizing meetings and managing travel arrangements Requirements Proven experience in office management or administrative roles with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry tools Technical proficiency with office equipment including multi-line phone systems and office management software such as QuickBooks Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Strong communication skills with professional phone etiquette and customer service orientation Bilingual abilities are highly desirable to support diverse client interactions Demonstrated computer literacy with experience in typing, proofreading, filing, and calendar management Previous experience in front desk operations or personal assistant roles is preferred Ability to handle multiple responsibilities efficiently while maintaining attention to detail
