Overview We are seeking a proactive and highly organized Office Administrator to join our dynamic team. This vital role ensures the smooth operation of daily office functions, providing exceptional support to staff, clients, and visitors alike. Responsibilities Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Oversee office management tasks such as filing, data entry, and maintaining organized records using spreadsheets and productivity software Coordinate calendar management and scheduling for meetings, appointments, and events with excellent time management skills Handle client communication and customer support inquiries promptly via phone or email, ensuring high levels of customer satisfaction Utilize computer skills to prepare documents, proofread correspondence, and perform word processing tasks efficiently Maintain office supplies inventory, process invoices using QuickBooks or similar accounting software, and ensure the office environment is well-organized Support administrative projects by proofreading documents, managing spreadsheets, and assisting with clerical duties as needed Experience Proven experience in office administration or clerical roles with a strong background in office management and customer service Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software Experience with data entry, filing systems, and maintaining accurate records in a fast-paced environment Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members Technical proficiency in using multi-line phone systems, calendar management tools, and basic accounting software such as QuickBooks Strong organizational skills with the ability to multitask efficiently while maintaining attention to detail Previous experience supporting front desk operations or serving as a personal assistant is a plus Join us in this exciting role where your organizational prowess and positive energy will make a meaningful impact every day!
