Job Description
The Ann Arbor Center for the Family (AACF) is seeking a reliable, organized, and self-motivated Practice Operations & Booking Coordinator to support the private practices of mental health professionals. AACF has served the Ann Arbor community for over 50 years and is committed to providing mental health care which is inclusive, equitable and affirming of diverse individuals and families.
Schedule/Hours:
Approximately 15 hours/week spread flexibly across three or more days within Monday-Friday.Work location:

This role manages the foundational operational and financial engine of our shared practice suite. It is ideal for an administrative professional or experienced bookkeeper who thrives in an independent healthcare environment.Key Responsibilities:
Financial Oversight & Bookkeeping:
Manage Accounts Receivable (AR) and Accounts Payable (AP), track center expenses, prepare monthly/quarterly financial summaries, and organize end-of-year documentation for our CPA.Facility & Vendor Operations:
Serve as the primary point of contact for suite vendors (IT, supplies, cleaning, landlord); monitor physical inventory and order office supplies as needed.Practice Communication & Triage:
Oversee central communication channels, including general phone and website inquiries, main inbox triage, and physical mail distribution.Administrative Coordination & Supervision:
Maintain central office schedules, coordinate shared suite logistics, supervise administrative assistant, and support smooth day-to-day center functioning for our 16 affiliate clinicians.Basic Qualifications:
Proven experience in bookkeeping, basic accounting, or office management (QuickBooks or standard accounting software experience required). Strong organizational, time-management, and multitasking skills. Strong written and verbal communication skills. High level of discretion, reliability, and respect for confidentiality/HIPAA standards. Ability to work independently and respond constructively to feedback. Preferred /Optional Experience:
Insurance Billing & Claims Support:
Experience with insurance claim submission, electronic remittance advice (ERA/EOB) posting, clearinghouses, or patient billing in a healthcare or mental health setting is a strong plus. Candidates with these specialized skills may have the opportunity for expanded hours or opt-in project work based on practice needs. Candidates without insurance billing experience are still encouraged to apply, as core operational and bookkeeping skills remain our primary focus.Job Type:
