Job Description

Company Overview Michigan Oculofacial Specialists specializes in Ophthalmic Plastic and Reconstructive Surgery. This unique specialty treats the eyelids, eyebrows, tear duct system, orbit, and surrounding areas of the face. Our practice has offices located in Troy and Clinton Township where we see patients and perform minor procedures. Truvista Surgery Center is our state-of-the-art Ambulatory Surgical Center that is located near our Troy office. Position Summary The Office Manager is responsible for supervising and overseeing all staff and clinical activities at the assigned office location. The office manager ensures quality services are provided according to established policies and procedures; is responsible for working in collaboration with practice physician(s) to manage templates and patient schedules. The office manager works closely with Human Resources and Administration on employee performance evaluations, hiring, transfers, promotions, and employee relations concerns. Responsibilities Oversees training of front office staff at assigned location Works with Administation to coordinate physician scheduling changes, protocol changes, informing staff, modifying system schedules, assigning reschedules Oversees all patient experience and engagement Serves as local compliance officer with coordination of HIPAA compliance for their office, ensuring that patient privacy is understood by all staff Coordinates all office calendars, holidays, and office celebrations with input from Administration, other supervisors, and Human Resources Creates patient notices for all doors when practice hours are affected by holiday/other schedule changes Coordinates the use of outside vendors for offsite storage, janitorial, or usage of other vendors with input from other management team members Purchases supplies and equipment for the assigned office locations. Coaches and develops staff to provide service excellence with patient care Assists with implementing internal processes and procedures to improve efficiencies and ensure quality patient care Attends monthly management meetings as well as training and webinar sessions as required Contributes to the team effort by completing other projects and tasks as needed Assists with interviewing potential candidates Serves as point of contact for initial disciplinary actions Manages patient schedules to align with doctor preference Qualifications Prior clinic management experience strongly preferred. 2+ years healthcare related experience; preferred in a multi-site environment. Extensive knowledge with HIPAA and OSHA compliance. Team player that develops strong collaborative working relationships with internal partners and can effectively engage and ability to build consensus among cross-functional teams. Advanced computer skills including Microsoft Office; especially Word, Excel, and PowerPoint. Excellent interpersonal skills including the ability to interact effectively and professionally with individuals at all levels; both internal and external. Exercises sound judgment in responding to inquiries; understands when to route inquiries to next level. Self-motivated with strong organizational skills and superior attention to detail. Must be able to manage multiple tasks/projects simultaneously within inflexible time frames. Ability to adapt to frequent priority changes.
