Key Responsibilities Office Operations:
Oversee day-to-day office operations, including the firm calendar, communications, office organization, supplies, mail, records, and general administrative needs.
Leadership Support:
Provide administrative and operational support to the partners, including scheduling, meeting coordination, follow up, confidential communications, project support, and helping turn leadership priorities into action.
Client Relations:
Serve as a primary point of contact for clients and prospective clients. Answer questions, explain processes, coordinate appointments, assist with onboarding, and help ensure clients receive a positive and professional experience.
Tax Administration:
Support the administrative side of tax preparation throughout the year, including client onboarding, document management, tax organizers, engagement letters, return tracking, client follow up, signatures, e-filing, payments, and completed file processing.
Marketing & Communications:
Create and coordinate marketing content, social media, newsletters, graphics, video content, community communications, and website updates.
Technology & Systems:
Manage and support the firm's technology and software systems, troubleshoot issues, assist employees with access and technology needs, and coordinate with software support when needed.
Employee Support:
Support the day-to-day employee experience through internal communications, time off tracking, staff meetings, employee questions, recognition, celebrations, team activities, and workplace initiatives.
Projects & Problem Solving:
Take ownership of special projects and unexpected administrative needs, research solutions, coordinate tasks, follow up on outstanding items, and step in wherever needed to keep the firm moving forward.
Community Engagement:
Identify opportunities for community involvement, networking, and sponsorships that support ALG's presence and relationships within the community.
Recruiting & Onboarding:
Coordinate the hiring process from job posting through onboarding, including candidate communication, interviews, employment offers, hiring paperwork, records, and new employee technology setup. Qualifications Bachelor's degree preferred. Previous experience in office management, administrative operations, executive support, client service, or a similar professional role preferred. Comfortable learning and working with a variety of software, technology, and digital platforms . Experience with Microsoft Office, Google Workspace, AI tools and LLMs, Canva, MailerLite, RingCentral, and Calendly preferred. Experience with Drake, XCM, or QuickBooks is a bonus. Strong organizational skills with the ability to manage multiple priorities and deadlines . Task driven and focused, with the ability to work independently and efficiently . Detail oriented and highly organized , with respect for established processes and procedures. Strong communication and interpersonal skills. Strong problem-solving skills and a willingness to take ownership of responsibilities . Adaptable and patient, with the ability to pivot when priorities shift. Ability to maintain confidentiality and exercise sound judgment when handling sensitive information. Ability to collaborate effectively with partners, employees, clients, and community contacts. Willingness to learn, ask questions, take initiative, and contribute wherever needed.
