Job Description

Job Summary Ownership at Central Screw Products runs a focused, hard-working shop. We each wear a lot of hats, and while there's always a method to how we operate, it isn't always obvious from the outside. What we need is someone who can complement how we work: get up to speed quickly, keep pace, and help the operation run more effectively. At the center of that is our books. You'll be the single point of accuracy for our accounts payable, accounts receivable, and financial recordkeeping — keeping our books clean, reconciled, and audit-ready for our outside accountant, who handles all tax and accounting judgment calls. This is a bookkeeping role, not an accounting role. Strong, hands-on QuickBooks Desktop expertise is essential. Beyond the books, you'll also run the day-to-day operations of our office: keeping the space organized and supplied, coordinating with outside vendors and service providers, and serving as a trusted right hand to ownership — managing scheduling, correspondence, and other support as needed. This is an in-person role, full stop. You'll be on-site with us every day — not remote, not hybrid. When we're here working, we want you working alongside us — we're a small team pulling in the same direction, and that only happens in person. We're looking for someone who takes pride in precision and confidentiality, is comfortable wearing multiple hats, and wants a real foot in the door with a growing company.
Note:
as our sister company, Detroit Gun Works, continues to grow, this role may take on bookkeeping support for a second entity's books.
Essential Functions & Responsibilities Bookkeeping Accounts Payable & Receivable:
Verify and enter bills into company accounting software. Manage accounts receivable, collections, and customer follow-up.
Cash & Bank Management:
Deposit checks and maintain accurate records of company bank accounts and reconciliations.
Financial Recordkeeping & Reporting:
Maintain accurate, reconciled books in QuickBooks. Prepare month-end financial reports and reconcile accounts in preparation for our outside accountant's close. Maintain the company budget workbook, tracking forecasted vs. actual expenses.
QuickBooks Ownership:
Serve as our in-house QuickBooks expert — maintaining accurate categorization, troubleshooting day-to-day entry issues, and ensuring the file stays clean and organized between accountant reviews.
Records & Systems:
Maintain accounting files and records so information is readily accessible. Use QuickBooks Desktop, Excel, Google Sheets, and Word daily.
Office Management Facilities & Vendor Coordination:
Serve as the main point of contact for office vendors and service providers (supplies, equipment, cleaning, IT, maintenance) — placing orders, scheduling service, and resolving day-to-day issues.
Office Operations:
Keep the office organized, stocked, and running smoothly. Own front-of-office duties — greeting visitors, answering phones, and directing inquiries.
General Office Support:
Printing, scanning, filing, data entry, and mailing as needed.
Executive Support Calendar & Scheduling:
Help manage ownership's schedule, coordinate meetings, and keep priorities organized.
Correspondence & Communication:
Draft and manage routine correspondence with customers, vendors, and partners on ownership's behalf.
Travel & Logistics:
Coordinate occasional travel arrangements and logistics as needed.
Reporting & Communication:
Report to management daily on critical accounting and operational details. Qualified Candidates MUST Have 3+ years of hands-on QuickBooks Desktop experience , comfortable entering, reconciling, and troubleshooting without heavy supervision Prior experience in an office management, administrative, or executive-support capacity — comfortable owning the day-to-day operations of a small office Ability to pass a pre-employment drug test, background check, and reference check Proficiency with Microsoft Office (especially Excel) and Google Sheets Outstanding written and verbal communication skills Trustworthiness and discretion handling sensitive financial and business information Strong organizational skills and comfort managing competing priorities independently Comfort working on-site, in-person, in a small-office environment, full-time Preferred, Not Required Experience supporting or bookkeeping for more than one entity/company QuickBooks ProAdvisor certification or similar formal credential
