Part-time Shift and Schedule:
Monday to Thursday, 3 PM•7 PM (15•20 hours per week). Job Description Are you a highly organized, reliable, and self-motivated individual who excels at managing a professional space independently? Mathnasium of Rochester is seeking a part-time Office Administrator / Front Desk Coordinator to serve as the vital face and operational gatekeeper of our learning center. Our instructional team focuses 100% of their energy on teaching math. Your mission is to run the front desk seamlessly, maintain an immaculate environment, handle parent communications, and support daily center logistics. We are looking for a high-ownership individual who thrives when given the autonomy to manage a professional space independently.
Responsibilities Front Desk Leadership:
Greet arriving students warmly, manage the digital student check-in terminal, and assist parents at the front counter with excellent hospitality.
Administrative Gatekeeping:
Efficiently manage incoming phone calls, monitor center emails, and route critical client inquiries to the Director.
Curriculum Logistics:
Keep student binders meticulously organized, print diagnostic test materials, and ensure all daily learning plans are prepared and sorted before instructional hours begin.
Client Coordination:
Use our automated scheduling tools to coordinate and confirm student evaluation windows and parent progress meetings.
Center Maintenance:
Execute daily opening and closing checklists (wiping tables, organizing workspace materials, resetting the lobby, and locking the facility) to ensure the learning environment remains pristine, professional, and clutter-free.
Qualifications Self-Sufficiency:
Proven ability to operate independently and maintain operational order without direct on-site supervision.
Communication Skills:
Professional, warm, and clear etiquette in person, over the phone, and via email.
Technical Literacy:
Comfortable learning and navigating digital administrative dashboards, calendar software, and email systems.
Organizational Skills:
A natural eye for detail, decluttering, and maintaining visual structure in a bustling environment.
