Job Description

Summary Working under the direction of the Pastor/Head of Staff, the Office Administrator is responsible for providing administrative supportto the church community. The Office Administrator performs many diverse tasks, including scheduling appointments and meetings,assisting callers and visitors, managing church calendar, producing weekly bulletins, bi-weekly email communications & annual reports. This person works with outside vendors, orders office and paper products, attends staff meetings, runs payroll and helps coordinatespecial projects and events. Major Responsibilities Administrative Support 1. Pastor/Head of Staff Support a. Assist in managing appointments b. Maintain Confidentiality c. Disseminate communications 2. Elders, Deacons, Internal non-clergy positions a. Coordinate & schedule room availability b. Communicate, complete, archive (minutes, etc.) 3. Staff, Personnel (HR) Support a. Payroll, time cards, Vacation time for staff b. Maintain/Update Employee handbook c. Act as main contact for cleaning company 4. Record Keeping a. Church membership, Births, Deaths, Marriage, Baptism, Confirmands, etc. through the church database info. (addresses, phone, etc) b. Create user friendly files, archive current files digitally 5. Office Management a. Supply budget, internal printing, software, graphics, Website updating b. Office space management 6. Recruit & Manage Office Volunteers a. Orient, Oversee, Train, Coordinate, Schedule Communication / Coordination Sunday Bulletin (including all inserts) Gather, rewrite & create all Bulletin material Send copy of bulletin in to volunteers for proofing Finalize, print, fold and stuff for Sunday Worship Internal First point of contact, members & visitors Facilitate communication among staff, volunteers, leaders, Deacons, Elders, and Pastors Provide information to the prayer chain Work with outside vendors (phone system, roofers, plumbing, etc.) Member Directory—create and maintain Master Church Calendar Collect information, make sure no conflicts exist, post live on website Facilitate scheduling, weddings, rentals, etc. Other printed Material Annual Report, Church directory, Posters / Flyers, Postcards, Pledge cards, Memorial service Bulletins, Special events (i.e. Blessing of the Animals, Blue Christmas, etc.) Media Technology Website Content update Lobby TV slides Social Media sites Preschool Bulletin inserts Coordinate building usage for extra events (Holiday programs, evening speakers, etc.) Calendar postings on Website Security Monitor Building entrance during office hours Close Office (Office machines, lights, doors locked, Narthex TV etc.) Required Qualifications Personal At least a High School Diploma Ability to protect confidential information Capacity to relate to a variety of people Ability to work with other staff Willingness to accept general work direction from the pastor Professional Computer Proficiency Attention to details Manage phone system Record keeping and filing, including computer databases Adept at time management Preferred Attributes At least 2 years experience as an Administrative Assistant Ability to work independently and effectively without close supervision Previous church administration experience Outstanding leadership skills Excellent written and verbal communication skills Excellent time management skills, including prioritization and delegation Interdependencies Office Administrator interacts with Office Volunteers, congregation members, Staff, Elders and Deacons, other committees and teams, Preschool teachers, parents and students and the community at large. Collaboration and teamwork in the office are essential to nourish the health of our ministries. • The Office Administrator contributes to the success of PCOTW by: Ensuring every visitor/caller is helped promptly, courteously, and with Christian love and compassion Assisting with the Pastor's schedule and communications to ensure his ability to meet the administrative and pastoral needs of the church Facilitating effective communication between the congregation, Pastor, Elders and Deacons, Clerk of Session, church committees and commissions Managing and training Office Volunteers Coordinating the production of timely and accurate print and online materials, mailings, reports, and other administrative projects Ensuring that shared church resources - classrooms, meeting hall, supplies, - are administered fairly and efficiently Following through on deadlines and commitments Maintaining confidentiality
