This vital role ensures seamless administrative workflows, maintains efficient office procedures, and fosters a welcoming atmosphere for staff, clients, and visitors alike. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating a productive workplace. Duties Oversee overall office management, including supply procurement, equipment maintenance, and workspace organization to ensure a smooth-running environment. Serve as the point of contact for staff questions about schedules, timesheets, and day-to-day logistics Handle data entry tasks with accuracy using spreadsheets, word processing, and productivity software to support administrative functions. Maintain accurate records through bookkeeping with QuickBooks and perform basic bookkeeping tasks as needed. Provide exceptional customer service by greeting visitors at the front desk, managing client communication, and supporting customer support initiatives. Assist with clerical duties such as proofreading documents, managing correspondence, and supporting personal assistant responsibilities when required. Monitor staff adherence to clinic policies (punctuality, phone use, cleanliness, dress code) and flag issues to leadership Answer and triage incoming calls — parent inquiries, referrals, vendor calls, staff calls Greet families and visitors; manage the front desk/reception area Manage incoming/outgoing mail, faxes, and office supply inventory. Draft correspondence, emails, and internal memos on behalf of leadership Requirements Proven experience in office management or administrative roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), spreadsheets, and general computer literacy. Experience with QuickBooks or similar bookkeeping software is highly desirable. Excellent communication skills in both English and bilingual capabilities to serve diverse clients and staff effectively. Demonstrated ability to handle multi-tasking efficiently while maintaining attention to detail in data entry and proofreading tasks. Strong technical proficiency with office equipment such as multi-line phone systems, printers, and computers. Prior experience in front desk duties or personal assistant roles is advantageous. Exceptional time management skills coupled with the ability to prioritize tasks in a fast-paced environment.
