Job Description

The Farm Office and Retail Manager is a management-level position responsible for the business and operational functions of the University Farms retail enterprise, shooting sports facilities, student staffing, marketing initiatives, and event programming and support. This position is responsible for coordinating revenue-generating functions, supervising student employees, managing inventory and financial processes, monitoring operational budgets, and ensuring compliance with university policies and established safety procedures within assigned areas. This role exercises independent judgment and decision-making in operational planning, student workforce management, financial coordination, and implementation of safety and procedural standards under the general direction of the Director of University Farms. Departmental Operations Management - 25% Manage and coordinate the daily business operations of University Farms retail, shooting sports, and event functions. Implement, maintain, and enforce operational procedures and internal controls in alignment with university policies. Establish and monitor performance standards and operational goals, recommend process improvements, and enhance efficiency and service delivery to align with departmental objectives. Evaluate and ensure assigned functional areas are staffed and operational in accordance with established safety and operational standards. Serve as the on-site operational lead for assigned functional areas during retail, range, and event activities. Serve as the delegated operational decision-maker for assigned functional areas, including shooting sports facilities, mascot care coordination and transportation, retail operations, and event programming, serving as the operational lead for those areas during the Director's absence, within established policies. Personnel Management and Supervision - 25% Directly supervise 15-20 part-time student employees assigned to retail, shooting sports, and event operations. Recruit, hire, train, schedule, and evaluate student employees in accordance with university policy. Provide day-to-day supervision, performance evaluation, and corrective action as appropriate; recommend disciplinary actions and terminations to the Director as required. Develop staffing plans to ensure operational coverage across assigned functional areas. Establish performance expectations and conduct formal evaluations to ensure compliance with operational and safety standards. Provide leadership, mentorship, and skills development opportunities to support student employee success and effective operations. Financial and Revenue Management - 15% Manage and monitor operational budgets and revenue streams associated with retail sales, range usage, and events. Analyze sales trends, inventory performance, and customer demand to inform merchandising decisions, pricing adjustments, and promotional strategies that support established revenue objectives. Analyze financial activity and provide recommendations to support revenue generation and cost control. Prepare, process, and submit expenditures for Director approval in accordance with university fiscal policies. Oversee cash handling procedures, retail reconciliation, and related financial documentation to ensure accuracy and compliance. Manage inventory tracking and loss prevention practices for retail and operational supplies. Assist in the development of annual operational budgets and revenue projections for assigned functional areas by providing operational data, forecasted participation trends, and recommending adjustments to support financial targets. Shooting Sports Operations and Safety Oversight - 15% Oversee the daily operations of the shotgun, rifle, and archery ranges. Including scheduling, staffing coordination, and facility readiness. Operationally manage and enforce established safety procedures and range protocols in alignment with university policies and risk management standards. Maintain required safety documentation, certifications, inspection records, and operational logs. Coordinate scheduling for instructional use, student organizations, and approved external programming. Supervise student range personnel and ensure appropriate training and adherence to established safety standards. Identify and address operational safety concerns and elevate significant issues to the Director as appropriate. Event Planning and Program Management - 10% Plan, coordinate, and execute internal and external events hosted at University Farms. Develop event logistics plans, staffing assignments, facility setup plans, and safety coordination in accordance with established procedures. Prepare even-related budget estimates, track associated expenses, and establish operational participation and revenue targets designed to support Director-established budget thresholds. Coordinate with campus departments, external vendors, and community partners to support successful event operations. Monitor event participation and financial performance, and adjust operational strategies as needed to support budget and service objectives. Marketing and Strategic Communications - 10% Manage and maintain social media accounts and digital communications for University Farms in alignment with UCM branding standards. Develop and implement marketing initiatives to support and increase retail sales, shooting sports participation, and event attendance within established budget and revenue goals. Monitor engagement metrics, sales trends, and participation data; adjust promotional activities as needed to support operational objectives. Collaborate with University Marketing and Communications on branding guidance, major campaigns, and external promotions.
Education:
Bachelor's degree in Business Administration, Management, Retail Management, Recreation Management, Agriculture, or related field. Education may be substituted for experience or experience substituted for education based on the following equivalencies: AA = 2 years; BA/BS = 4 years; MA/MA = 6 years; PhD = 8 years.
Experience:
Two (2) years of supervisory or management experience required. One (1) experience overseeing business operations, revenue-generating activities, retail operations, or program management. Strong organizational, financial tracking, and leadership skills. Proficiency in Microsoft Office and retail management or point-of-sale systems. Experience managing regulated or safety-sensitive operational environments preferred. Experience supervising student employees in a higher education setting preferred. Experience with budget monitoring, revenue tracking, analysis, and financial reporting support preferred. Physical Requirements Ability to work in office and outdoor environments. Ability to lift up to 40 pounds. Ability to operate commercial vehicles consistent with Class A CDL requirements upon licensure; i.e. truck and trailer. Ability to safely work within a shooting sports environment. Working Conditions Exposure to fumes and/or chemicals Work is performed in office, retail, outdoor, and shooting sports environments. Evening and weekend work is required based on operational and event needs.
Licenses and Certifications:
Valid Class A Commercial Driver's License (CDL) or ability to obtain within one (1) year of hire. NRA Range Safety Officer (RSO) certification or ability to obtain within one (1) year of hire. Additional firearms safety or instructor certifications preferred.
