is looking for a dependable, organized, and motivated office manager to help manage our daily office operations. This person will be the first point of contact for many of our customers and must provide friendly, professional service while keeping the office, schedule, and technicians organized. The ideal candidate communicates well, stays calm in a busy environment, takes initiative, and is willing to learn additional responsibilities as the company grows.Primary Responsibilities:
Answer incoming telephone calls professionally and assist customers with their needs. Schedule service calls, estimates, and maitenance appointments, and installations. Coordinate daily schedules with technicians, installers, managements, and custimers. Contact customers regarding unpaid invoices and collect outstanding balances professionally. Process customer payments and maintain accurate payment records. Help customers apply for financing and explain available financing options. Protect customer financial and personal inforamation. Perform over-the-phone sales, including booking service calls, maitenance agreements, upgrades, and other company services. Follow up with customers regarding estimates, recommended repairs, financing applications, and unsold work. Order equipment, materials, and parts from vendors. Track parts and confirm that materials arrive before scheduled jobs. Pick up and deliver parts, equipment, paperwork, and other materials when needed. Maintain accurate customer information, job notes, invoices, and scheduling records. Keep the office, front desk, waiting area, and shared spaces clean and organized. Assist with filing, data entry, emails, invoices, and general office paperwork. Communicate customer concerns and important job information to managements and field employees. Help resolve scheduling issues and customer complaints professionally. Learn new office duties, software, products, services, and company procedures. Perform additional reasonable duties as assigned.Qualifications:
Strong telephone and customer-service skills. Professional, friendly, and confident commuinaction. Organized and able to manage several responsibilies at once. Dependable, punctual, and able to work with limited supervision. Comfortable discussing pricing, collecting payments, and making sales. Bsic computer, email, typing, and data-entry skills. Willingness to learn HVAC terminology, equipment, parts, and services. Ability to handle confidential customer and company information responsibly. Valid driver's license and reliable driving record for parts pickup and delivery. Previous office-management, dispatching, scheduling, collections, sales, or customer-service experience is preferred but not required.What we are looking for:
