We are looking for a key leader to join our Solstice team who will run our office, strengthen our company culture, and help orchestrate our long-term company vision. You will be trusted to operate independently while serving and supporting others. Position Summary The primary responsibilities of the Office Manager is to be a central leader/organizer of our office operations and help strengthen our company culture. This role oversees financial administration, HR operations, all office and administrative operations, customer support, project and team support, and team event planning. This role works closely with ownership, our accountant, HR specialists, insurance agents, vendors, and our team to ensure effective company operations. Core Responsibilities Financial & Accounting Administration
  • Assist our accountant with Payroll (BambooHR), A/P(bill.com), online banking and expense transactions (QBO), A/R and customer payment deposits.
  • Create and send invoices from job sheets into QuickBooks Online (QBO)
  • Manage A/R tracking and follow-up
  • Prepare mini budget and Solstice team financial reports (Excel)
  • Hold weekly coordination meetings with our accountant Customer, Vendor, and Team Support
  • Provide in-person office support and return all phone calls promptly
  • Deliver excellent customer service and handle customer needs with care
  • Act as a clear and professional liaison between the Solstice team and our customers.
  • Lead and motivate our team with professionalism, respect, and a winning attitude
  • Organize team social events that promote and strengthen company culture
  • Manage PPE, shirts, hats, and branded gear (design, inventory, purchasing)
  • Support leadership in strategic planning, financial goal tracking, company culture development Communication & Culture Leadership
  • Champion company priorities, values, and vision
  • Actively listen, give recognition, and foster positive engagement
  • Support hiring efforts by helping identify and attract the right people
  • Help "paint the vision" of our future with our team (culture initiatives) Office Administration & Compliance
  • Serve as the primary administrator for email accounts, Google Drive, HR software, vendor portals, bank accounts, licenses/registrations, insurance portals and H2B documentation systems.
  • Complete Work Comp and GL audits, and all insurance updates.
  • Assist with software implementation, training, and technical support to our team
  • Assist with development, documentation, and training of operating and safety procedures
  • Ensure compliance with safety regulations, proof of insurance, and legal requirements
  • Proofread documents and prepare correspondence (email and mail)
  • Maintain office organization, supplies, cleanliness, and filing systems Human Resources & Employee Support
  • Manage employee onboarding and off boarding (BambooHR)
  • Manage employee benefits administration
  • Serve as a point of contact for employee relations, including Spanish-speaking H2B visa employees
  • Maintain employee records, contracts, and evaluations
  • Support managers with interviews, hiring, and performance reviews
  • Work with HR specialists to implement procedural and legal updates Project, Purchasing & Inventory Support
  • Assist with business and project-related purchasing
  • Collect and verify material shipments against purchase orders
  • Support equipment and shop inventory tracking
  • Track equipment usage and assist with scheduling support for projects Qualifications & Skills
  • Strong organizational, documentation, and management skills
  • Proficiency with QBO and Microsoft Office Suite
  • 2+ years of bookkeeping experience preferred
  • Previous experience in the landscaping or building industry preferred but not required
  • Ability to work independently while collaborating closely with others
  • A servant-leader mindset with high accountability

  • Full-time, salaried position
Pay:
$50,000 to $70,000 per year
    Benefits:
    Paid Vacation and Holidays, Simple IRA retirement matching, Health Insurance Stipend, Year-end Bonus.
    • Typical hours of operation are 8am-5pm; summer schedule may include 7am-6pm.
