Job Description

Job Overview We are seeking a highly organized and proactive Office Manager to oversee daily office operations and ensure a smooth workflow. The ideal candidate will have strong administrative skills, experience with office management systems, and excellent communication abilities. This role involves managing front desk activities, coordinating schedules, and supporting staff to maintain an efficient and professional office environment. Responsibilities Manage front desk operations, including greeting visitors and handling inquiries Oversee multi-line phone systems, directing calls appropriately and maintaining excellent phone etiquette Utilize QuickBooks for bookkeeping, invoicing, and financial record-keeping Coordinate calendar management and appointment scheduling for staff and executives Perform data entry, filing, and document proofreading to ensure accuracy and organization Support customer service efforts by assisting clients and responding to inquiries promptly Maintain office supplies inventory and order necessary materials Assist with clerical tasks such as typing correspondence, managing emails, and supporting administrative projects Use Microsoft Office Suite and Google Workspace for document creation, spreadsheets, presentations, and communication tools Provide support with personal assistant duties as needed, including travel arrangements or special projects Ensure the office operates efficiently by implementing organizational systems and procedures Skills Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications Strong organizational skills with excellent time management abilities Experience with office management software such as QuickBooks and familiarity with multi-line phone systems Bilingual skills are a plus for effective communication with diverse clients or staff Previous office experience in clerical or administrative roles is preferred Exceptional customer service skills with professional phone etiquette Ability to handle data entry accurately and efficiently while maintaining attention to detail Knowledge of bookkeeping practices Proven ability to multitask in a fast-paced environment while prioritizing tasks effectively Strong proofreading skills to ensure error-free documents and correspondence
