Overview We are seeking a highly organized and proactive Office Manager/Administrative Assistant to join our team. In this vital role, you will be responsible for overseeing daily office operations, providing exceptional administrative support, and ensuring efficient communication within the organization. Full-Time Position Overview Community Connections ABA Services is seeking a highly organized, experienced, and proactive Office Manager to oversee the daily administrative operations of our growing healthcare organization. This is not an entry-level administrative position. We are looking for a professional who thrives in a fast-paced environment, can work independently, manages multiple priorities, and takes ownership of the overall efficiency and appearance of the office. The ideal candidate will possess exceptional administrative, human resources, customer service, and organizational skills while maintaining a professional and welcoming environment for clients, families, and staff. Essential ResponsibilitiesOffice Administration & Management Manage the day-to-day operations of the office. Ensure the office remains organized, clean, fully stocked, and professional at all times. Coordinate office maintenance, repairs, vendors, and supplies. Maintain filing systems electronic and paper Develop and improve administrative procedures and workflows. Answer and direct incoming phone calls professionally. Greet and assist clients, families, visitors, and vendors. Coordinate meetings and maintain office calendars. Assist leadership with special projects and operational initiatives. Human Resources Support Coordinate employee onboarding and offboarding. Maintain confidential personnel files. Assist with recruiting, interview scheduling, and applicant tracking. Verify employee credentials, certifications, licenses, and required documentation. Maintain compliance with HR policies and employment records. Assist with performance documentation and employee communications. Insurance & Authorizations Verify insurance eligibility and benefits. Obtain authorizations and assist with insurance documentation. Maintain accurate client insurance records. Work with clinical staff to resolve authorization-related issues. Referral Intake & Tracking Manage incoming referrals from providers, families, and community partners. Conduct initial intake calls and gather required client information. Track referral status from intake through service initiation. Maintain accurate and up-to-date referral logs and databases. Coordinate with clinical staff to ensure timely scheduling and onboarding of new clients. Follow up on pending referrals and ensure all required documentation is received. Data Entry & Reporting Perform accurate and timely data entry. Generate reports using Microsoft Excel and other software platforms. Maintain databases with a high degree of accuracy. Monitor deadlines and ensure documentation is complete. Assist leadership with administrative reporting and operational metrics. Technology & Software Demonstrate advanced proficiency in: Microsoft Word Microsoft Excel Microsoft Outlook Microsoft Teams PowerPoint Ability to quickly learn healthcare software platforms. Experience with electronic medical records EMR/EHR is preferred. Customer Service Deliver exceptional customer service to families, employees, and community partners. Handle sensitive and confidential information with professionalism. Resolve administrative concerns promptly and professionally. Represent the organization with a positive, solution-focused attitude.
Qualifications Required:
Minimum of 5 years of administrative or office management experience. Strong Human Resources knowledge and experience. Insurance verification experience. Excellent written and verbal communication skills. Advanced Microsoft Office skills, particularly Excel. Exceptional organizational and time management abilities. Strong multitasking skills with excellent attention to detail. Ability to prioritize competing deadlines. Professional appearance and demeanor. Ability to work independently with minimal supervision. Experience maintaining confidential records.
Preferred:
Experience in a healthcare, medical, behavioral health, ABA, or therapy setting. Experience with scheduling software, EMR/EHR systems, or practice management software. Associate's or Bachelor's degree in Business Administration, Healthcare Administration, Human Resources, or a related field preferred but we value experience Ideal Candidate We are looking for someone who: Takes ownership and pride in their work. Compensation:
Competitive salary based on experience.
Please Note:
This position requires someone who is willing to take ownership of the office environment. Responsibilities include ensuring the office remains organized, welcoming, well-maintained, and fully operational. This role is much more than answering phones—it is critical to the overall success of our organization.
Pay:
$20.00 - $25.00 per hour Expected hours: 30.0 - 40.0 per week
