Job Description
Office & Property Administrator 104 South Sycamore Street, Fremont, NC 27830 Full-time Full-time Overview The Office & Property Administrator provides general office and administrative support while also assisting with property management-related coordination. This role helps ensure daily operations run smoothly by managing communication, tracking follow-ups, scheduling appointments, supporting documentation, and helping resolve routine issues as they arise. This position requires strong organization, attention to detail, follow-through, and the ability to communicate professionally with internal team members, vendors, tenants, property contacts, and other business partners Key Responsibilities Provide general administrative support to the office, leadership team, and/or assigned departments. Answer calls, respond to emails, and direct inquiries to the appropriate person or department. Assist with scheduling, calendar coordination, appointment follow-ups, and reminders. Communicate with different properties regarding routine needs, updates, questions, and follow-up items. Assist with property-related calls, service requests, appointment scheduling, and vendor coordination. Track open issues and follow up to ensure matters are handled in a timely manner. Help coordinate communication between property contacts, vendors, tenants, and internal team members. Maintain organized records, files, documents, and notes related to office and property activities. Prepare, update, and distribute routine correspondence, reports, forms, and other administrative documents. Support basic data entry, document management, and system updates. Monitor outstanding tasks and help ensure deadlines and commitments are met. Assist with problem-solving and escalation of issues when additional support or approval is needed. Maintain a professional and helpful approach when handling questions, concerns, or urgent matters. Perform other administrative duties and special projects as assigned. Qualifications Previous administrative, office support, customer service, or property coordination experience preferred. Strong written and verbal communication skills. Excellent organization and follow-up skills. Ability to manage multiple priorities and keep track of open items. Comfortable making phone calls, sending emails, and communicating with a variety of contacts. Strong attention to detail and accuracy. Ability to handle confidential and sensitive information professionally. Proficiency with Microsoft Office, Google Workspace, email, and general office technology. Ability to learn new systems, processes, and procedures quickly. Professional, dependable, and proactive approach to work. Preferred Skills Experience supporting property management, real estate, construction, maintenance coordination, or vendor scheduling. Experience tracking service requests, appointments, or follow-up items. Ability to stay calm and professional when issues arise. Strong customer service mindset. Work Environment This role operates in a professional in office environment and may require frequent phone and email communication. The position may involve occasional coordination with property contacts, vendors, tenants, or other external partners. Physical Requirements Ability to sit, stand, and use a computer for extended periods. Ability to communicate by phone, email, and in person. Ability to occasionally lift or carry office materials as needed.
