This pivotal role ensures smooth administrative functions, maintains a welcoming front desk, and supports team productivity through exceptional organizational and communication skills. The ideal candidate will thrive in a fast-paced setting, demonstrate strong multitasking abilities, and possess a passion for creating an efficient workplace. As the backbone of our office, you will coordinate administrative tasks, manage office supplies, oversee clerical processes, and provide outstanding customer service to both internal teams and external visitors. Duties Oversee daily office operations, ensuring all administrative functions run seamlessly Manage front desk responsibilities including greeting visitors, answering multi-line phone systems, and providing excellent customer support Maintain organized filing systems, perform data entry, and handle document proofreading to ensure accuracy and professionalism Coordinate calendar management, schedule appointments, and organize meetings for staff and executives Utilize software tools such as Microsoft Office, Google Workspace, QuickBooks, and other computer applications to streamline workflows. Has experience with SoftDent and EagleSoft applications. Handle clerical tasks such as filing, photocopying, mailing, and managing office supplies inventory Support bookkeeping activities including basic record keeping and invoice processing Assist with personal assistant duties when needed and provide exceptional phone etiquette in all communications Skills Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Familiarity with QuickBooks for bookkeeping and financial record keeping Excellent communication skills with bilingual ability preferred for diverse client interactions Softdent and Eaglesoft proficiency needed. Strong computer literacy with the ability to adapt to various office management software tools Exceptional time management skills to prioritize tasks efficiently in a busy environment Experience with front desk operations, multi-line phone systems, and customer service excellence Knowledge of clerical procedures including filing, proofreading, data entry, and calendar management Ability to handle sensitive information discreetly while demonstrating professionalism at all times Join us as an Office Manager and be the driving force behind our vibrant workplace!
