Job Description Job Title Executive Assistant/Office Manager Department - Operations Job Overview We are seeking an experienced, highly organized Executive Assistant to join our team. The position supports executive leadership by managing schedules, coordinating communications, organizing projects, and handling a wide range of administrative responsibilities that keep the organization running efficiently. This position will report to the President of the company. The ideal candidate is detail-oriented, proactive, and resourceful, with excellent organizational and time management skills. They are collaborative team player who can also work independently, prioritize competing responsibilities, and maintain a high level of professionalism and confidentiality. Key Responsibilities
- Screen phone calls, emails, and correspondence, responding or routing inquiries appropriately.
- Prepare meeting agendas, presentations, reports, and meeting minutes.
- Manage the executive's calendar, appointments, meetings, and travel requirements.
- Coordinate internal and external meetings with clients, vendors, and business partners.
- Maintain confidential company records and sensitive information with discretion.
- Day-to-day update with staff regarding projects completion or update about projects.
- Support contract administration, document management, and filing systems.
- Ordering office supplies and keeping inventory of office supplies.
- Conduct research and prepare reports to support business decisions.
- Serve as a liaison between executives, employees, clients, and external stakeholders.
- Perform other administrative duties as assigned. Qualifications & Requirements
- 3+ Years of any administrative assistant or office manager experience
- Associate degree or bachelor's degree preferred.
- Excellent written and verbal communication skills.
- High level of professionalism and discretion with confidential information.
- Ability to prioritize multiple tasks and meet deadlines.
- Strong problem-solving skills and attention to detail.
- Microsoft Office Suite Preferred Qualifications
- Marketing & business development experience is a plus.
- Knowledge of CRM software is a plus.
- Knowledge of Power BI or Tableau is a plus. Additional Requirements
- This is an on-site position requiring attendance (5) days per week. Hybrid schedule may be offered to highly qualified candidates.
- Must be legally authorized to work in the United States.
Pay:
$28.00 - $32.00 per hour Expected hours: 32.0 - 40.0 per week
