Job Description

Office Administrator Position Reports to: Senior Minister and the Annual Board Chair Summary of Position Offers routine administrative support to the ministers, church members, lay leaders, co-workers, community partners and vendors with flexibility and diplomacy. Provides confidential office coverage with discretion, empathy, and compassion in accordance with the Mission and Vision of the Church. Job is a part-time position working Monday through Friday 20-25 hours per week plus limited paid time off Hours can be flexible between 8am and 5pm to accommodate the right candidate. Scope of Position As the first point of contact, this position requires meeting and greeting all kinds of visitors cordially with excellence for "the customer comes first" Serves as liaison for office suppliers, people seeking assistance, groups/organizations desiring to use the facility and outside vendors performing work on the building Coordinates closely with Director of Communications & Social Media weekly Prioritizes day-to-day tasks and services in accordance with the Mission and Vision of the Church Responsible for staying informed of all church events and activities to answers questions and provides instruction as needed Serves as the knowledge holder for use of the office equipment and manages its care and maintenance Trains volunteers and temporary office replacements Education and Experience Associates Degree is preferred with a minimum 2 - 3 years of office experience or a comparable mix of education and experience will be considered Microsoft Office Suite and Google Docs Suite proficiency Experience with Church management software, e.g. Breeze, is a huge bonus Familiarity with office equipment (folding machine, postage machine, copy machine) Strong oral and written communication skills practiced with compassion and diplomacy Strong organizational skills with the ability to prioritize work tasks with flexibility Employment requires clearance for a background check Job Responsibilities Performs all duties with confidentiality, discretion, welcoming and empathic attitude reflecting the mission and values of the Church Provides administrative staff support including to the Senior Minister, Associate Minister, other staff, lay leadership, congregation members and guests Provides support to various church committees on their projects and events as requested Attends all staff meetings and other meetings when requested to take notes and provide a written document of notes to the participants of the meeting Oversees day-to-day operations of the church office including real-time supportive attention to calls and visitors Answers, documents and appropriately responds to incoming calls, office emails as well as communications generated from the church website Creates letters, emails and phone mail communications as requested Maintains church records in both electronic and hard copy form as required Manages the church's online directory and produces a yearly hard copy Opens, sorts, and distributes incoming correspondence Serves as a liaison to the finance office Coordinates and manages the Church calendar of events with appropriate communications for changes and/or reminders Monitors and maintains par level office supply inventory Goes on church errands such as: Post Office, UPS, FedEx & Office Depot Manages the maintenance of the church office equipment for scheduled and unplanned service calls to ensure the equipment is operating properly Works with the Property Chair to coordinate with vendors, repair workers, maintenance, and other outside groups who need access to the building in normal working hours Attends the training sessions for the "Safe Church Policy" of First Christian Church with the expectation for upholding the terms of the policy Manages the distribution of keys to the building, keeping a list of key holders All other duties as assigned
