Job Description

Express Employment Professionals is seeking a highly organized, detail-oriented Office Administrator to join one of our growing client teams. This unique position combines the responsibilities of an office assistant, administrative assistant, office administrator, and customer service professional into one dynamic role. The ideal candidate will enjoy a blend of administrative support, client service, policy administration, billing reconciliation, and operational processing. This role is perfect for someone with experience in administrative, clerical, customer service, insurance operations, accounts payable, or office management functions who thrives in a fast-paced environment and enjoys solving problems while providing exceptional service.
Key Responsibilities:
Client Service & Administrative Support Serve as a primary point of contact for clients, employers, brokers, and internal departments. Provide professional customer service via phone, email, and written correspondence. Respond to inquiries regarding billing, policy changes, premium payments, reinstatements, refunds, and account maintenance. Assist with employer and customer communications, mailings, and follow-up activities. Track requests and ensure timely resolution of client concerns. Maintain accurate records and documentation within company systems. Support various administrative and operational projects as assigned. Billing, Accounting & Reconciliation Reconcile customer and group billing statements accurately and efficiently. Review and process billing adjustments, refunds, cancellations, and reinstatements. Assist with accounting-related functions, including billing reviews and payment reconciliation. Support accounts payable and financial record maintenance as needed. Monitor reports and ensure compliance with internal procedures and deadlines. New Business Processing Review applications and supporting documentation for accuracy and completeness. Enter new business information into administrative systems. Verify compliance with company guidelines, state requirements, and underwriting standards. Process policy changes, endorsements, beneficiary updates, ownership changes, and related transactions. Coordinate with internal departments to ensure accurate setup and issuance of new policies. Prepare policy documents, contracts, and customer correspondence. Office Administration & Operations Perform duties commonly associated with an office manager, office assistant, office administrator, administrative assistant, executive assistant, and receptionist role. Maintain organized electronic and physical records. Assist with workflow improvements and departmental initiatives. Support team events, special projects, and cross-functional activities. Prioritize multiple tasks while meeting deadlines in a fast-paced environment. Ensure compliance with company policies, confidentiality requirements, and regulatory guidelines.
Qualifications:
Associate degree, trade certification, or equivalent related experience required. 2-5 years of experience in an administrative assistant, office assistant, office administrator, office manager, customer service, insurance, accounting, or business support role required. Proficiency with Microsoft Office, including Word and Excel required. Experience with insurance administration, policy processing, underwriting support, or billing operations preferred. Knowledge of accounts payable, reconciliation, invoicing, or accounting processes preferred. Experience working with customer databases or administrative management systems. Strong organizational and time-management skills. Excellent verbal and written communication abilities. High attention to detail and accuracy. Ability to handle multiple priorities and meet deadlines. Strong problem-solving and decision-making skills. Reliable attendance and ability to work independently
Schedule and Pay:
Monday through Friday 8:00am - 4:30pm OR Monday through Friday 8:30am - 5:00pm Pay up to $23/hr Employees paid weekly!
