Job Summary We are seeking a proactive and organized Part Time Office Admin to join our dynamic team! Duties Greet visitors and manage front desk responsibilities with professionalism and warmth Handle multi-line phone systems, directing calls accurately and courteously Manage calendar appointments, scheduling meetings, and coordinating events efficiently Perform data entry tasks using Microsoft Office applications and QuickBooks for bookkeeping purposes Maintain organized files, records, and confidential information with discretion Support office management tasks including supply inventory, mail distribution, and general clerical duties Provide exceptional customer support by responding promptly to inquiries via phone or email Part-Time Office Administrator Blue Cat Construction | Omaha, NE | Part-time, [XX] hours/week | [In office / hybrid] About Us Blue Cat Construction is a residential general contractor serving the Omaha metro and western Iowa. We handle interior and exterior projects, including renovations, roofing, decking, and new home construction. We're a small, owner-operated team that works with a network of trusted subcontractors, and we're looking for an organized, dependable person to keep the office running. What You'll Do Phones and scheduling Answer incoming calls from homeowners, subcontractors, suppliers, and inspectors, and route or return messages promptly Schedule building inspections with city and county permit offices in Nebraska and Iowa, and coordinate timing with the owners and subcontractors Keep the job and inspection calendar current and send reminders when inspections are coming up Paperwork and document management Scan and file receipts, invoices, and job paperwork so everything is organized and easy to find Scan and deposit customer checks, and keep deposit records Track subcontractor W-9s and certificates of insurance, and follow up when they're missing or expired Bookkeeping Enter income and expenses in QuickBooks and match receipts to transactions Process subcontractor and supplier bills and keep payables current Invoice customers, track payments, and follow up on outstanding balances Reconcile bank and credit card accounts monthly Help prepare year-end records, including 1099s, for our outside accountant What We're Looking For 2+ years of bookkeeping or office admin experience (construction or trades experience is a plus) Working knowledge of [QuickBooks] or similar accounting software A clear, friendly phone manner, including with busy contractors and homeowners Strong organization and attention to detail, especially with numbers and deadlines Comfortable working independently and handling confidential financial information Familiarity with
