Duties Handle comprehensive office management tasks such as filing, data entry, calendar management, and maintaining office supplies Utilize productivity software including Microsoft Office (Word, Excel), Google Workspace, and spreadsheets to prepare documents, reports, and correspondence Oversee bookkeeping activities using QuickBooks or similar accounting software to support financial recordkeeping and invoicing Support client communication through professional written correspondence and timely follow-up via phone or email Coordinate appointments, schedule meetings, and manage calendars for staff or medical/dental professionals as needed Assist with clerical tasks such as proofreading documents, organizing files, and ensuring accurate data entry across various platforms Qualifications Proven experience in office administration or related roles such as receptionist or personal assistant with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, spreadsheets, and data entry tools Familiarity with QuickBooks or other bookkeeping software is highly desirable Excellent computer literacy including typing speed and technical proficiency in productivity software Strong customer service skills with the ability to communicate effectively via phone and in person Bilingual abilities are a plus to support diverse client interactions Experience with multi-line phone systems and front desk operations preferred Ability to manage time efficiently while handling multiple priorities in a fast-paced environment Join us in creating a vibrant office atmosphere where efficiency meets excellence!
