This role is primarily responsible for monitoring visitor access, managing front desk operations, coordinating package intake and distribution, maintaining office supplies, and stocking common areas.
Work Schedule:
Monday-Friday, 8:30 AM - 5:00
PM EST Responsibilities:
Greet and welcome visitors, vendors, and guests in a professional and friendly manner. Monitor entry and exit activity at the main entrance. Verify visitor identities and ensure compliance with visitor sign-in procedures. Issue visitor badges and notify employees of guest arrivals. Maintain security and confidentiality while managing front desk operations. Monitor lobby and reception areas to ensure a clean, organized, and welcoming environment. Package & Mail Management Receive, log, and organize incoming packages and deliveries. Notify employees of package arrivals and coordinate pickup. Distribute incoming mail and internal deliveries as needed. Maintain accurate records of package receipts and distributions. Inventory & Supply Management Monitor office supply inventory levels and identify replenishment needs. Order office and breakroom supplies as authorized. Receive and organize supply deliveries. Stock office materials, kitchen supplies, and common area items. Maintain neat and organized supply storage areas. Administrative Support Maintain visitor logs and other front desk records. Support office operations with basic administrative tasks as assigned. Assist with special office projects and events when needed. Report facility or security concerns to appropriate personnel. Required Skills/Abilities Excellent customer service and interpersonal skills. Professional demeanor and ability to interact effectively with visitors, employees, and vendors. Strong organizational skills with the ability to manage multiple tasks and priorities. Attention to detail and accuracy in maintaining visitor logs, package records, and inventory supplies. Ability to work independently with minimal supervision. Strong verbal and written communication skills. Basic computer proficiency, including Microsoft Outlook, Word, Excel, and Teams. Ability to maintain confidentiality and exercise sound judgment. Dependable attendance and punctuality. Ability to identify and report security, safety, or facility concerns appropriately. Education and Experience High school diploma or equivalent required Previous front desk, reception, hospitality, customer service, or administrative experience preferred. Strong interpersonal and customer service skills. Excellent organizational and time management abilities. Ability to work independently and manage multiple priorities. Basic computer skills, including Microsoft Office applications. Ability to lift and move packages and supply boxes up to 25 pounds.
