Job Description

Part-Time Schedule:
Approximately 29 hours per week, Monday-Friday, scheduled between 9:30 a.m. and 5:30 p.m. Attendance at one monthly Tuesday evening Board meeting, typically 7:00-9:30 p.m., is required.
Compensation:
$31.83/hour - $34.48/hour (commensurate with experience) WorkDynamX is partnering with Community Congregational Church in Short Hills, NJ to recruit an experienced, highly organized Office Manager to oversee the Church's financial, administrative, human resources, facilities, and operational functions. Reporting directly to the Lead Pastor, the Office Manager works closely with Church staff, members, volunteers, Board leadership, vendors, contractors, and community partners. This highly visible position requires strong business acumen, financial and organizational skills, sound judgment, attention to detail, and the ability to independently manage multiple areas of responsibility while providing professional and service-oriented support to the Church community. The Office Manager is responsible for: Financial Management & Bookkeeping Manage accounts payable and accounts receivable using QuickBooks Online. Maintain accurate records for bank accounts, funds, deposits, withdrawals, and other financial transactions. Monitor cash flow and support cash-management activities. Perform receipt matching and support account reconciliations. Prepare journal entries and monthly financial reports, including balance sheets and profit and loss statements. Work closely with the Church Treasurer on financial reporting, controls, and related matters. Support annual audits and other required financial and insurance reporting. Assist with development of the annual Church budget in collaboration with the Board Chair, Treasurer, and clergy. Human Resources & Payroll Process payroll and related payroll reporting through ADP RUN. Coordinate year-end W-2 and 1099 reporting. Maintain accurate and confidential personnel records. Provide administrative support related to employee benefits. Assist the Personnel Portfolio Chair with benefits administration, cost monitoring, and information needed for compensation and salary reviews. Coordinate employee performance review processes. Administer employment-related actions and Board-approved personnel decisions in accordance with Church policies. Board & Governance Support Prepare agendas, meeting notices, calendar invitations, and supporting materials for monthly Church Board meetings. Prepare financial information and reports for Board meetings and the Church's Annual Report. Provide administrative support to the Church Board Chair and Church Treasurer. Attend monthly Church Board meetings and Annual and Special Congregational Meetings. Record and maintain accurate meeting minutes. Serve as an administrative point of communication for Board activities and follow-up items. Stewardship & Giving Coordinate the annual Stewardship & Giving Campaign in partnership with the Stewardship Portfolio Chair. Maintain accurate pledge and contribution records in Breeze. Reconcile giving records and prepare donor statements. Provide members with required year-end contribution documentation. Maintain accurate donor information, including donation status and payment information. Coordinate stewardship communications and mailings. Facilities, Vendors & Operations Serve as the primary point of contact for Church and parsonage contractors and vendors. Coordinate facility use for internal and external activities, including communication with prospective and current renters, contracts, scheduling, and setup requirements. Order and manage office, cleaning, printer/copier, building, and parsonage supplies. Monitor building and grounds needs and coordinate routine and emergency repairs and maintenance. Coordinate operational matters related to solar panels and cell tower installations. Compliance & Risk Management Coordinate workers' compensation audits. Manage insurance renewals, audits, and related reporting. Coordinate fire, safety, and other required regulatory inspections. Maintain appropriate operational and compliance records and documentation. General Administration Maintain and update the Church membership database in Breeze, including member, visitor, and constituent information. Maintain the Memorial Garden database and plot map, including records and plaque orders. Support other financial, administrative, facilities, and operational projects as needed. Position Requirements Minimum of 5 years of office management, business operations, financial administration, or related experience. Bachelor's degree or equivalent combination of education and relevant professional experience. Proficiency with QuickBooks Online required. Strong financial and business acumen, including experience with bookkeeping, financial reporting, and budgeting. Strong organizational skills and exceptional attention to detail. Ability to manage confidential and sensitive information with discretion. Strong written and verbal communication skills. Ability to work independently and effectively manage competing priorities. Professional, approachable, and service-oriented communication style. Preferred Qualifications Experience with Breeze or another church/member management database. Proficiency with Apple products. Experience working within a nonprofit, faith-based, community-based, or mission-driven organization.
