Overview Join a dynamic automotive team as an Office Administrator at our busy family owned car dealership! In this vital role, you will be the backbone of daily operations, ensuring smooth administrative workflows and exceptional customer service. Your energetic and organized approach will help us maintain an efficient office environment, support team coordination, and enhance client experiences. This paid position offers a fantastic opportunity to develop your skills in office management, accounting, and team supervision within a fast-paced, customer-focused setting. Salary is negotiable depending on experience Responsibilities Manage daily office operations, including filing, data entry, and maintaining organized records of confidential information Oversee scheduling and calendar management for sales staff, service appointments, and meetings to optimize dealership workflow Coordinate vendor relationships, including ordering supplies and managing service contracts to ensure seamless operations Supervise administrative staff and provide training & development to foster a high-performing team environment Handle human resources tasks such as onboarding new employees, payroll processing using accounting software like QuickBooks, and maintaining employee records Support bookkeeping and accounting activities by managing invoices, tracking expenses, and assisting with budgeting processes Provide excellent customer service at the front desk by greeting visitors, answering phones with professional etiquette, and directing inquiries efficiently Assist with event planning for dealership promotions or community outreach initiatives to boost engagement and brand visibility Utilize Microsoft Office tools and spreadsheets to prepare reports, track sales data, and manage office documentation Qualifications Proven experience in office administration or clerical roles within a professional environment; dealership or automotive experience is a plus Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets for data management Experience with accounting software such as QuickBooks or similar financial software; knowledge of bookkeeping and payroll processes is essential Demonstrated supervisory or team management experience with the ability to motivate staff and oversee daily operations effectively Excellent communication skills with professional phone etiquette and client interaction capabilities Organizational skills to handle multiple tasks efficiently while maintaining attention to detail in a fast-paced setting Ability to handle confidential information responsibly and maintain discretion at all times Knowledge of vendor management, budgeting, event planning, and human resources practices preferred Bilingual candidates (Spanish/English) are strongly preferred.
