Responsibilities Manage daily office operations, including overseeing supplies, equipment, and maintenance requests to ensure a well-functioning workspace Handle multi-line phone systems with professionalism, providing exceptional customer service and accurate information to callers Maintain organized records through data entry, spreadsheets, and word processing using productivity software such as Microsoft Office and QuickBooks Greet visitors at the front desk with friendly phone etiquette and provide assistance or direct them appropriately Coordinate appointments, meetings, and calendar schedules for staff members to optimize time management Support administrative tasks such as filing, document preparation, and correspondence to streamline office workflows Assist with client communication and follow-up to foster strong relationships and ensure customer support excellence Qualifications Proven office management or administrative experience in a fast-paced environment Strong computer literacy with proficiency in Microsoft Office (Word, Excel) and familiarity with productivity software like QuickBooks Excellent organizational skills with keen attention to detail and ability to multitask effectively Effective communication skills, including phone etiquette and bilingual abilities (preferred) for diverse client interactions Experience with data entry, clerical tasks, and front desk responsibilities demonstrating reliability and efficiency Demonstrated ability to prioritize tasks, manage time effectively, and maintain professionalism under pressure Personal assistant experience or familiarity with office support roles is a plus Experience in Adobe Acrobat, Microsoft Project, Auto
