What you'll do Manage a team of administrative personnel, including Office Manager, Billing Coordinators and Project Coordinators. Coordinate with project managers, field personnel, vendors, and customers to resolve billing discrepancies. Prepare billing reports and provide updates to management. Review billing documentation, contracts, purchase orders, and supporting records. Track outstanding invoices and assist with accounts receivable follow-up. Coordinate with customers billing expectations and milestones. Manage office budgets, process invoices, billing processes, track expenses, and coordinate with accounting for payroll adjustments. Maintain physical and digital filing systems, ensuring data security and confidentiality. Being flexible enough to handle changes in policy or unexpected facility issues and show leadership to the team broadly. Ability to work independently and anticipate problems before they arise. Oversee daily administrative procedures, maintain office systems, and implement new protocols to improve workflow efficiency. Oversees daily end-of-day office closing procedures, including ensuring the office is secured before departure. Coordinate management schedules, travel arrangements, company events, and internal meetings. Act as the primary point of contact for visitors and incoming communications. What you'll need 6+ years of progressive office management or administrative experience, preferably in construction, general contracting, or a related field (e.g., architecture, engineering, property development). Experience in billing, invoicing, accounts receivable, or financial management is required. Experience communicating with external customers, vendors, and cross departments. High School diploma/GED required; bachelor's degree in business administration or a related field highly preferred. Proficiency in SAP, Google Suite (Sheets, Docs, Slides, etc.). is preferred. Proven ability to supervise staff, delegate tasks effectively, and mediate workplace conflicts. Exceptional time management and the ability to multitask in a fast-paced construction environment. Strong verbal and written skills for professional correspondence and cross departmental coordination. High level of attention to detail and accuracy (especially with financial and contractual documents). Ability to maintain confidentiality and exercise sound judgment. Required Skills & Attributes Self-starter who can work independently with minimal supervision. Calm under pressure; able to prioritize in a dynamic, sometimes unpredictable environment. Strong leadership and organizational skills, problem-solving skills, and resourcefulness. Team-oriented mindset with a service attitude toward project teams.
