Full-Time We are seeking an exceptional, highly engaged Office Manager who brings a powerful blend of operational command, team-building leadership, and genuine human warmth. In our practice, the Office Manager is not a back-office administrator behind a closed door. You are people facing. You lead the operational engine, you are the team coach, and culture driver for our clinic. This role is built around managing daily practice flow, leading and developing our Medical Assistant (MA) team, and instilling an exceptional, patient-centric culture across every patient touchpoint. We require previous Office Manager experience in Primary Care or a closely aligned specialty (e.g., Urgent Care, Internal Medicine, or High-Volume Outpatient Clinics) where success depended on you operating a highly structured, patient-centric clinical model. Key Responsibilities:
Clinic Operations, Staff Coaching, Development & Culture Building (Primary Focus)
MA Team Leadership & Mentorship:
Lead, mentor, and coach our team of Medical Assistants and front-office staff. Conduct daily huddles, observe clinical/front-desk workflows, and provide constructive, real-time coaching.
Culture Builder:
Foster a warm, supportive, human-centric, and patient-first practice environment. Inspire high morale, trust, clear communication, and pride of ownership within the team.
Performance & Workflow Management:
Define clear expectations, monitor daily staff performance, hold team members accountable to operational standards, and lead recruitment, onboarding, and training for new clinic staff. Daily Clinic Operations & Revenue Flow (Primary Focus)
Daily Practice Operations:
Oversee day-to-day clinical and administrative workflows, ensuring seamless patient flow, minimal wait times, and proactive problem-solving during peak hours.
Schedule Density & Capacity Optimization:
Monitor provider schedules in real-time, drive strategies to fill cancellations/gaps, optimize rooming efficiency, and maximize daily clinical throughput.
Revenue Checkpoint Oversight:
Direct point-of-service financial operations—ensuring proper real-time insurance verification, co-pay/deductible collections, prior authorizations, and accurate daily financial reconciliation.
Patient Experience Excellence:
Serve as the leadership point of contact for patient relations, resolving escalated patient concerns with empathy, poise, and resolution-oriented professionalism.
Candidate Requirements Proven Management Experience:
THIS IS A MUST!
Minimum 2-3+ years of direct Office Manager experience specifically within Primary Care, Urgent Care, or a closely comparable outpatient clinical model.
Clinical Coaching & MA Command:
Strong understanding of Medical Assistant workflows (vital signs, rooming, clinical support, intake) and a track record of successfully coaching and elevating MA performance.
Operational & Insurance Competence:
Deep, practical understanding of primary care revenue cycle management, commercial insurance payers, Medicare, co-pays/deductibles, prior authorizations, and schedule optimization.
Human-Centric Leadership:
Exceptional interpersonal skills, natural empathy, and a "people-person" demeanor. You know how to motivate a team, build trust, and maintain high standards with high support.
EHR & Tech Proficiency:
Hands-on mastery of EHR software, digital check-in systems, and modern clinic operations tools. Educational /
Credential Background:
Bachelor's degree in Healthcare Administration/Business, or equivalent clinical leadership experience (MA/RN background with managerial experience is a strong plus).
