Full-Time (Exempt) About Us We are a growing food manufacturing company committed to producing safe, high-quality products while maintaining compliance with all federal, state, and local regulations. We are seeking an experienced, highly organized, and dependable Accounting, Human Resources & Office Manager who is fluent in both English and Spanish. Position Summary The Office Manager oversees the daily administrative operations of the office while managing accounting, payroll, and human resources functions. This position plays a critical role in ensuring efficient office operations, financial accuracy, regulatory compliance, and employee support in a fast-paced food manufacturing environment. Office Manager Responsibilities Oversee the daily operations of the front office. Supervise and support administrative staff. Develop and improve office procedures and workflows. Order and maintain office, breakroom, and facility supplies. Coordinate office equipment maintenance and vendor service agreements. Manage company correspondence, mail, and administrative records. Schedule meetings and coordinate company events. Assist ownership and management with special projects. Prepare reports, presentations, and business correspondence. Maintain company licenses, permits, insurance certificates, and business records. Serve as the primary point of contact for office vendors and service providers. Coordinate travel arrangements and company calendars as needed. Ensure the office remains organized, efficient, and professional. Food Manufacturing Compliance Maintain documentation supporting GMP, HACCP, SQF, FDA, and OSHA requirements. Assist with internal and external food safety audits. Coordinate employee food safety training records. Support safety meetings, incident reporting, and OSHA recordkeeping. Assist management with regulatory inspections and corrective action documentation. Essential Accounting Responsibilities Manage Accounts Payable and Accounts Receivable. Process customer invoicing and collections. Prepare bank deposits and reconcile bank accounts. Maintain the general ledger and accounting records. Assist with month-end and year-end closing. Prepare financial reports for management. Process payroll and maintain payroll records. Coordinate with outside accountants during audits and tax preparation. Monitor company expenses and office budgets. Maintain vendor records and oversee vendor payments. Essential Human Resources Responsibilities Partner with leadership and HR on recruiting, interviewing, hiring, onboarding, and offboarding functions. Maintain personnel files, payroll records, and HR documentation. Complete Form I-9 verification and E-Verify (if applicable). Partner with Human Resources on leave of absences, and workers' compensation claims. Maintain employee attendance and timekeeping records. Coordinate employee orientations and required training. Maintain compliance with Nevada and federal employment laws, including wage and hour requirements. Assist with employee relations, investigations, disciplinary actions, and performance management. Maintain OSHA, food safety, and HR training records. Coordinate unemployment claims and employment verification requests with home office. Maintain confidentiality of all employee information. Qualifications Associate's or Bachelor's degree in Accounting, Human Resources, Business Administration, or related field preferred. Minimum of 3-5 years of experience in accounting, human resources, office management, or business administration. Previous experience in a manufacturing or food manufacturing environment is highly preferred. Bilingual in English and Spanish (required). Bilingual English and Chinese (preferred but not required). Strong knowledge of Microsoft Office (Excel, Word, Outlook). Experience with accounting and payroll software (such as QuickBooks, Sage, ADP, Paychex, or similar ERP systems is a preferred but not required). Working knowledge of Nevada employment laws, payroll regulations, and HR best practices. Excellent leadership, organizational, communication, and multitasking skills. Strong attention to detail and ability to maintain strict confidentiality. Ability to prioritize multiple projects while meeting deadlines.
