Job Description

We are looking for a strong career minded individual to oversee a high volume small office. Key skills needed are organizational effectiveness, communication strengths and professionalism. Office manager duties and responsibilities include answering phones, scheduling appointments, greeting visitors, client intake and onboarding and providing general administrative support to our team. Our Office Manager will also be responsible for limited bookkeeping tasks including monthly billing, customer payments and making deposits. Various marketing tasks, project tracking and office organization are other key elements. Previous experience as a Front Office Manager or Executive Assistant would be an advantage. A successful candidate should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately manage lots of details and deadlines. Responsibilities Schedule meetings and appointments, confirm appointments Organize the office and client files including maintaining the Master Task List Sending monthly billing, collect payments and do banking Provide general support to visitors Assist in the onboarding process for new clients Assist in the preparation and distribution of a monthly newsletter Scan client files, tax documents and other data for a paperless office structure Will be responsible for managing the Secure Portal System. Knowledge of office administrator responsibilities, systems and procedures Proficiency in MS Office (MS Excel and MS Outlook, in particular) Hands on experience with office machines (e.g. fax machines and printers) Excellent time management skills and ability to multi-task and prioritize work Attention to detail and problem solving skills Excellent written and verbal communication skills Strong organizational and planning skills in a fast-paced environment A creative mind with an ability to suggest improvements
Pay:
$22.00 - $25.00 per hour Expected hours: 30.0 - 35.0 per week
