What You'll Do Manage Office Operations :
Oversee daily administrative tasks to ensure the smooth functioning of the office.
Customer Communication :
Answer phone calls, respond to emails, and provide exceptional customer service.
Scheduling and Coordination :
Arrange appointments for sales staff and project teams, ensuring efficient use of resources.
Data Management :
Maintain accurate records in the CRM system, track project progress, general book keeping, and manage invoices.
Support Sales and Operations :
Assist with preparing permits, coordinating with contractors, and communicating updates to customers.
Problem-Solving :
Tackle challenges with a proactive and solutions-oriented mindset.
General Office Duties :
Handle filing, ordering supplies, payroll, and maintaining a welcoming office environment.
What You'll Bring Experience :
Proven experience in office management, administration, or a similar role.
Strong Organizational Skills :
Ability to manage multiple tasks, prioritize effectively, and maintain a high level of accuracy.
Communication Proficiency :
Excellent verbal and written communication skills to engage with customers and team members.
Technical Aptitude :
Familiarity with CRM systems, Microsoft Office Suite, JobNimbus, and QuickBooks.
Problem-Solving Abilities :
A proactive approach to identifying and resolving issues as they arise.

Key ResponsibilitiesYear-Round Responsibilities Administrative Tasks :
Oversee daily office operations, including scheduling, correspondence, and record-keeping. Maintain organized digital and physical files for projects, permits, invoices, and payroll. Manage office supplies and vendor relationships.
Customer Communication :
Serve as the primary point of contact for customers, addressing inquiries and providing updates. Schedule estimates, inspections, and installations. Resolve customer complaints and ensure satisfaction, even if calls occur after typical business hours.
Bookkeeping :
Process invoices, accounts payable/receivable, and payroll. Reconcile financial records and prepare monthly reports. Assist in preparing year-end financial documentation and tax preparation in collaboration with the accounting firm.
Team Coordination :
Communicate daily schedules and updates with field crews and foremen. Assist with onboarding and training of new staff. Ensure compliance with company policies and procedures.
DOT Compliance and Insurance :
Ensure compliance with Department of Transportation (DOT) regulations. Manage audits and documentation for workers' compensation and liability insurance.
Marketing and Strategic Input :
Collaborate with the owner on marketing ideas and strategies to drive business growth. Contribute to brainstorming and implementing process improvements.
Problem-Solving :
Address unexpected issues such as material delays, scheduling conflicts, or emergency calls. Work closely with the sales team to ensure smooth handoffs from lead generation to project execution.
