About the
Role:
The Office Administrator/Junior Accountant plays a critical dual role in ensuring the smooth operation of daily office functions while supporting the financial accounting processes of the organization. This position is responsible for managing administrative tasks such as scheduling, correspondence, and record keeping, which are essential for maintaining an organized and efficient workplace. Concurrently, the role involves assisting with accounting duties including bookkeeping, invoice processing, and financial reporting to support accurate and timely financial management. The successful candidate will act as a liaison between various departments, facilitating communication and ensuring compliance with company policies and financial regulations. Ultimately, this role contributes to the overall operational success and financial integrity of the company by balancing administrative efficiency with precise accounting support.
Minimum Qualifications:
Associate's degree in Accounting, Business Administration, or related field preferred. Basic understanding of accounting principles and office administration practices. Proficiency in Excel and Word. Experience with accounting software such as SAP. Strong organizational skills and attention to detail.
Preferred Qualifications:
Bachelor's degree in Accounting, Finance, Business Administration, or related discipline. Previous experience in a combined administrative and accounting role. Excellent communication skills, both written and verbal. SAP experience. Ability to multitask and prioritize in a fast-paced environment.
Responsibilities:
Manage daily office operations including answering phones, handling correspondence, and maintaining filing systems. Coordinate schedules, meetings, and travel arrangements for staff and management. Assist in preparing financial documents such as invoices, expense reports, and bank reconciliations. Maintain accurate and up-to-date accounting records using accounting software and spreadsheets. Support month-end and year-end closing processes by preparing necessary documentation and reports. Communicate with vendors, clients, and internal teams to resolve administrative and financial inquiries. Ensure compliance with company policies and assist in implementing office procedures to improve efficiency. Assist with payroll processing and tracking employee time records as needed.
Skills:
The required skills enable the candidate to efficiently manage both administrative and accounting tasks by utilizing organizational and technical abilities daily. Proficiency in Microsoft Office and accounting software allows for accurate data entry, financial record maintenance, and report generation. Strong communication skills facilitate effective interaction with colleagues, vendors, and clients, ensuring smooth office operations and timely resolution of inquiries. Attention to detail is critical in maintaining precise financial records and supporting compliance with company policies. Preferred skills such as familiarity with payroll systems and advanced accounting knowledge enhance the candidate's ability to contribute to more complex financial processes and improve overall departmental efficiency.
