Practice Manager Marotta Medspa Location:
Americana Manhasset - Manhasset, NY Full-Time Position Overview Marotta Medspa is seeking an experienced Office Manager / Practice Manager to oversee the day-to-day operations of our physician-led medical aesthetics and longevity center located in the Americana Manhasset professional offices. This is a senior operational role responsible for ensuring clinical efficiency, exceptional patient experience, financial discipline, and staff coordination. The ideal candidate is highly organized, calm under pressure, detail-oriented, and comfortable managing a premium outpatient medical practice. This position is hands-on and leadership-oriented, not administrative only. Key Responsibilities Operations & Practice Management Oversee daily clinic operations and patient flow Ensure smooth coordination between front desk, clinical staff, and providers Maintain scheduling efficiency and room utilization Monitor key performance indicators (KPIs) and operational metrics Implement and enforce office policies and procedures Patient Experience & Front-of-House Leadership Set and maintain a premium patient experience standard Oversee front desk, concierge, and patient communications Manage patient intake, scheduling, follow-ups, and service recovery Address patient concerns professionally and promptly Financial Oversight Monitor daily revenue, collections, and deposits Track membership enrollment, retention, and billing Assist ownership with monthly P&L review Manage vendor relationships and recurring expenses Support budget discipline and cost control initiatives Staff Leadership & HR Coordination Supervise non-physician staff (front desk, MAs, aestheticians) Assist with hiring, onboarding, training, and performance management Coordinate schedules, PTO, and coverage Reinforce accountability, professionalism, and team culture Compliance & Administrative Ensure adherence to HIPAA and office compliance standards Maintain accurate documentation and recordkeeping Coordinate with Medical Director on operational compliance Support audits, inspections, and regulatory requirements Practice Environment Physician-led ownership and oversight Moderately exclusive, science-forward culture High-net-worth patient population Focus on quality, efficiency, and sustainability — not volume at all costs Strong administrative and clinical infrastructure Compensation Base Salary $85,000 annually Performance Bonus $10,000 every 6 months Bonus tied to net profit exceeding 20% Clear performance alignment Predictable upside Rewards operational excellence Qualifications Required 3+ years experience as an Office Manager or Practice Manager Experience in: Medical office, medspa, dental, or outpatient healthcare setting Strong organizational and leadership skills Financial literacy (understanding revenue, expenses, KPIs) Excellent communication and customer service skills Proficiency with EMR / scheduling / billing systems Preferred Experience in medical aesthetics or wellness practices Familiarity with membership-based revenue models Experience managing multi-provider schedules Comfort working in a fast-paced, premium environment Ideal Candidate Profile You are: Highly organized and detail-oriented Comfortable holding staff accountable Calm, professional, and solutions-focused Confident communicating with physicians and patients Motivated by building systems and improving operations You are not : Seeking a purely administrative role Uncomfortable with performance metrics or accountability Looking for a low-structure environment Schedule Full-time, on-site Consistent daytime schedule Occasional flexibility for events or operational needs Why Join MarottaMD Leadership role in a flagship practice Competitive compensation with performance upside Stable, physician-led ownership Opportunity to help build a scalable, best-in-class operation Professional, respectful work environment To Apply Please submit: Resume Brief cover letter describing relevant experience
