Job Description

Overview We are seeking a dynamic and detail-oriented Office Administrator / Accounts Payable professional to join our team. This vital role combines administrative excellence with financial management, ensuring smooth office operations and accurate handling of accounts payable processes. As a key member of our organization, you will support daily office functions, oversee vendor relationships, manage financial records, and contribute to a collaborative and efficient work environment. Your proactive approach and organizational skills will help drive our company's success while providing exceptional service to internal teams and external partners. Responsibilities Manage day-to-day office operations, including filing, scheduling, and maintaining office supplies to ensure a productive work environment Handle accounts payable functions by processing invoices, verifying expenses, and ensuring timely payments using accounting software such as QuickBooks or similar platforms Oversee vendor management activities, including establishing new vendor relationships, negotiating terms, and maintaining accurate vendor records Assist with bookkeeping tasks, including bank reconciliations, expense tracking, and maintaining financial records with precision and confidentiality Support human resources functions such as onboarding new employees, managing employee records, and coordinating training & development initiatives Coordinate calendar management for executives and team members, including scheduling meetings, appointments, and event planning activities Provide excellent customer service by responding promptly to internal inquiries and managing multi-line phone systems with professionalism and courtesy Qualifications Proven experience in office administration or office management roles with strong clerical skills Demonstrated accounting and finance experience, including accounts payable processing and bookkeeping Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with spreadsheets for data organization and reporting Familiarity with accounting software such as QuickBooks or other financial management tools Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Excellent communication skills for client interaction, team collaboration, and vendor negotiations Supervising experience is preferred to support team management activities and training efforts Experience in event planning, schedule management, and handling confidential information with discretion Knowledge of human resources processes including payroll administration is a plus Ability to handle multiple responsibilities efficiently while maintaining attention to detail Join us to be part of a vibrant team dedicated to operational excellence! Pay:
$50,000.00 - $55,000.00 per year
