Job Description
Office Manager (Part-Time) 20-25 Hours per week
Office Hours:
Monday-Friday within the window of 9:00 am - 5:00 pm, typically 10:00 am - 2:00 pm, with evenings and weekends as needed. The Smithtown Historical Society is seeking an Office Manager . Since 1955, the Society has been dedicated to its mission of preserving and interpreting the history and heritage of Smithtown and greater Long Island. The Office Manager position is integral to our operation, as he/she will be the first face of the organization to our members, neighbors, and friends.Duties include:
- General reception services
- Provide general office support to staff members
- Handle rental contracts for our historic Frank Brush Barn
- Work closely with Executive Director to plan, coordinate and evaluate special events and programs
- Create flyers and promote events on social media and the newspaper
- Network with diverse individuals/organizations; recruit volunteers, vendors, and sponsors for special events
- Manage bulk mailings
- Enter membership data into database and spreadsheet software; manage mailings for renewals and acknowledgements
- Collect payments and maintain financial records
- Maintain databases and spreadsheets
- Purchase and record inventory
- Other duties as assigned
Requirements:
- Experience as an Administrative Assistant or Office Manager preferred
- Demonstrated success in leadership and organization
- Attention to detail and the ability to multi-task is a must
- Excellent communication and interpersonal skills
- Passion for history and community involvement
- Working knowledge of and experience with Microsoft Office Suite, Google Suite, PastPerfect, Constant Contact, and Canva preferred.
