Overview We are a growing dental practice in Batavia, Ohio, embarking on an exciting new mission to serve underserved children in our community. Our office primarily treats patients with Ohio Medicaid, focusing on providing high-quality, compassionate pediatric dental care, including general sedation for those with extensive treatment needs. With Children's Hospital overwhelmed and wait times exceeding one year for general sedation cases, we are stepping up to fill this critical need and make a real difference in the lives of these children and their families. We are seeking an organized, effective leader to serve as our Dental Office Manager. This role is critical for managing staff, streamlining administrative operations, and driving efficiency so our team can focus on delivering exceptional care aligned with our unique community mission. Responsibilities Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette. Oversee calendar management and scheduling for team meetings, appointments, and events using productivity software and Google Workspace tools. Handle data entry, filing, and document proofreading to maintain accurate records and ensure seamless administrative processes. Coordinate office supplies procurement, inventory management, and equipment maintenance to support daily operations efficiently. Provide exceptional customer service by supporting client communication efforts and assisting with inquiries via phone or email. Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing, expense tracking, and basic financial record keeping. Supervise clerical staff or administrative assistants, fostering a collaborative environment focused on organizational excellence. Requirements Proven experience in office management or administrative roles with strong organizational skills and attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, spreadsheets, and productivity software. Excellent computer literacy with the ability to perform data entry, word processing, proofreading, and file management efficiently. Strong communication skills with the ability to handle phone communication professionally and support customer service initiatives. Experience with multi-line phone systems and calendar management tools is essential. Bilingual abilities are highly desirable to support diverse client interactions. Prior experience in front desk operations or as a medical/dental receptionist is advantageous. Knowledge of bookkeeping practices using QuickBooks or similar software is preferred.
