Job Overview:
We are seeking a highly organized and detail-oriented Office Manager to join our team. As an Office Manager, you will be responsible for managing day-to-day operations of our office, ensuring smooth workflow and efficient processes. This is a key role that requires excellent organizational skills, strong communication abilities, and the ability to work well in a team environment. The ideal candidate must be detailed-oriented, have a high sense of urgency, keen eye for details, and can work under minimal supervision.
Responsibilities:
- As an Office Manager, you will be responsible for managing the day-to-day operations of our office, ensuring smooth workflow and efficient processes
- Manage front desk, including greeting visitors, answering phone calls, and directing inquiries to appropriate team members
- Oversee office operations and ensure all administrative tasks are completed accurately an in a timely manner
- Coordinate and schedule construction permits
- Create job folders, both electronic and paper
- Handle office correspondence, including emails, letters, and packages
- Maintain office supplies inventory and place orders as needed
- Prepare proposals, contract documents, purchase orders, change orders and project files
- Prepare lien waivers for execution and transmittal
- Prepare and transmit close-out and month end reports
- Assist with financial tasks such a invoicing, expense tracking, and basic bookkeeping using QuickBooks
- Process customer billings for payment and approval
- Follow us with the collection of A/R customers
- Support event planning and coordination for company meetings or special events
- Provide administrative support to team members as needed
Qualifications:
- Experience in office management or administration
- Experience in construction industry not mandatory but a plus
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent verbal and written communication skills
- Strong computer skills are imperative
- Proficient in using Microsoft Office Suite (Word & Excel)
- Familiarity with QuickBooks
- Ability to update, create and maintain organized filing system, both electronic and paper
- Ability to work independently and collaboratively in a team environment
- Attention to detail and accuracy in completing tasks
- Ability to communicate effectively in real time, ask questions, and follow direction
