Job Description

Office Assistant - Excavating & Dump Truck Company Morrison Excavating LLC is seeking a dependable, organized, and detail-oriented Office Assistant to join our team. This position will work closely with and provide daily support to our Office Manager in a busy excavating, trucking, and construction environment. The ideal candidate will have in-depth, hands-on knowledge of QuickBooks and be comfortable handling accounting-related office responsibilities, data entry, paperwork, billing, and day-to-day administrative tasks. Responsibilities Assist the Office Manager with daily administrative and accounting duties Use QuickBooks extensively for bookkeeping, invoicing, accounts payable, accounts receivable, payments, deposits, and maintaining accurate financial records Prepare and send customer invoices and statements Process bills, receipts, and other financial documents Assist with accounts receivable and accounts payable Reconcile transactions and help maintain accurate account records Organize and maintain office files and records Answer phones, respond to emails, and communicate professionally with customers and vendors Assist with scheduling, dispatch-related paperwork, and coordinating information between the office and field personnel Track paperwork associated with dump trucks, equipment, drivers, and jobs Assist with payroll preparation and other administrative duties as needed Help the Office Manager with reports, spreadsheets, data entry, and other projects Maintain confidentiality of company and employee financial information Perform other duties as needed to keep the office running efficiently
Qualifications Required:
Strong, in-depth knowledge of QuickBooks Previous bookkeeping, accounting, or office administration experience Excellent attention to detail and accuracy Strong organizational and time-management skills Proficient computer skills Ability to work independently while also working closely with the Office Manager Professional communication skills Ability to multitask and prioritize in a busy work environment Dependable, responsible, and punctual
Preferred:
Experience with QuickBooks Desktop Experience in construction, excavation, trucking, transportation, or a similar industry Experience with accounts payable and accounts receivable Experience with payroll Familiarity with job costing, customer invoicing, and vendor billing Experience working with trucking or construction paperwork What We're Looking For We are looking for someone who is more than just a receptionist or general office assistant . This position requires someone who understands QuickBooks and is comfortable working with numbers, financial records, invoices, bills, and accounting-related information. The right person will be organized, trustworthy, detail-oriented, and willing to take ownership of their responsibilities while supporting the Office Manager and the rest of the company. Schedule Monday - Friday Schedule and hours to be discussed during the interview.
Compensation Pay:
Competitive and based on experience and qualifications.
Expected hours:
No less than 25.0 per week
