The ideal candidate will be responsible for managing daily office operations, ensuring efficient workflow, and providing support to staff and management. This role requires strong communication skills, exceptional organizational abilities, and a proactive approach to problem-solving. The Office Administrator will play a key role in maintaining a productive work environment while overseeing various administrative tasks. Responsibilities Answer and direct phone calls and emails to the appropriate staff or department if needed. Greet visitors and provide front desk support. Maintain digital and paper filing systems for leases, vendor agreements, invoices, and work orders. Support property managers with calendaring, lease renewals, inspection notices, and application documentation. Support operations manager with insurance renewals and claims Order office supplies and maintain office cleanliness and readiness. Manage front desk operations and tenant inquiries. Input data into spreadsheets and property management software. Manage all incoming digital and paper mail Basic data entry of tenant information, rent payments, and work order updates. Provide administrative support to property managers, leasing staff, and accounting teams. Handle mail distribution, scanning, copying, and document preparation Any additional tasks/project specific assigned. Requirements A team mindset with a strong sense of reliability, accountability, and punctuality. Prior office experience Required Strong attention to detail and willingness to learn new software platforms. Ability to stay on task with continued follow-up until the task is completed. A proactive approach to problem-solving and the ability to follow instructions closely. Ability to communicate clearly with both internal staff and external contacts. Ability to remain calm and solution-focused when addressing tenant complaints or service issues. Confidence in communicating office policies, lease terms, or procedures clearly and respectfully. Strong listening skills to accurately understand and relay tenant issues to the appropriate staff.
