Job Description

Rolling Hills Industries is looking for an Office Manager to join our team in our Latrobe office. The Office Manager is responsible for overseeing general administrative functions and office events and activities. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, key record-keeping, and interdepartmental coordination. The ideal candidate will have prior experience as an office manager or assistant manager, supporting multiple levels of employees. Office manager will serve as the main point of support for the executive leadership team.
Operations & Facilities Management Inventory Control:
Tracking, ordering, and organizing cleaning supplies and equipment. Managing fleet vehicles and maintenance
Vendor Management:
maintaining vendor relationships Office space: maintaining a clean work environment
Human Resources & Team Culture Onboarding Support:
assisting HR Director with onboarding process Serves as the point of contact for employees with the time tracking management app-
Clean Smart Internal Communication:
Distributing company-wide announcements and acting as a bridge between staff and leadership.
Conflict Resolution:
Serving as a neutral point of contact for employee workplace complaints or needs.
Administrative & Financial Support Billing Assistance:
Processing incoming payments
Data Organization:
Maintaining physical files, digital cloud storage, and company directories.
Technology & Security Coordination Hardware Setup:
Troubleshooting basic office tech issues like printer jams, Wi-Fi outages, and managing the phone system
Access Control:
Issuing security badges, managing key fobs, and monitoring vehicle logs.
Software Administration:
Managing user licenses for shared tools like Zoom, Slack, or scheduling software.
Skills:
Proficiency in MS Office (MS Excel and MS Outlook, in particular) Experience in using Dropbox Hands-on experience with technology and implementation Excellent time management skills and ability to multitask and prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational and planning skills in a fast-paced environment High School degree; additional qualification as an administrative assistant or Secretary will be a plus. Highly motivated and results-driven. Ability to complete tasks quickly and with urgency
