An Office Manager directs administrative staff and manages workflow in a business office. Supervises clerical work, tracks office supplies, oversees maintenance for office equipment and manages budget for office expenses. May hire and train staff.
Overview We are seeking an experienced, hands-on Controller / Office Manager to oversee the company's day-to-day accounting and administrative operations and manage the Assistant Controller and accounting functions. This is a key position responsible for maintaining accurate financial records, managing accounting processes, supporting project operations, and coordinating with outside accounting and professional service providers.
IMPORTANT
This is a construction accounting position. Previous hands-on construction accounting experience is strongly preferred. The ideal candidate is organized, detail-oriented, dependable, and comfortable working independently in a fast-paced construction environment. Key Responsibilities Manage the company's full-cycle accounting functions Perform accounts payable and accounts receivable Manage customer invoicing, including AIA billing Maintain accurate job costing and project financial information Prepare and maintain WIP (Work in Progress) reporting Perform monthly bank and account reconciliations Manage the month-end close process Prepare and maintain routine financial reports Provide management with timely and accurate financial information Process bi-weekly payroll, including related payroll administration Track and maintain subcontractor documentation, lien waivers, and compliance records Assist with insurance administration and related documentation Maintain organized, accurate, and audit-ready accounting records Work with the company's outside CPA on tax, financial, and accounting matters Maintain accounting records and transactions within Foundation Software Monitor accounts receivable, collections, and company cash flow Identify opportunities to improve accounting procedures, systems, and internal processes Provide general administrative and office management support as needed Qualifications 5+ years of accounting experience, including significant hands-on construction accounting experience — construction accounting experience is strongly preferred Strong understanding of construction job costing, WIP reporting, and AIA billing Experience with accounts payable, accounts receivable, payroll, reconciliations, and month-end close Experience managing subcontractor documentation, lien waivers, and compliance requirements Proficiency with accounting software; Foundation Software experience is a plus Strong organizational and analytical skills with exceptional attention to detail Ability to work independently and manage multiple priorities Strong communication and problem-solving skills Ability to maintain confidentiality with sensitive financial and employee information Education & Professional Development Associate's or Bachelor's degree in Accounting, Finance, Business, or a related field preferred Equivalent construction accounting experience and demonstrated knowledge may be considered in lieu of a four-year degree CPA candidates and accounting professionals currently pursuing the CPA designation are encouraged to apply What We're Looking For This position is ideal for an experienced accounting professional who enjoys being involved in the details and taking ownership of the company's accounting and administrative functions.
