This role is critical to ensuring the smooth day-to-day operation of the office while providing administrative support to leadership and employees. The ideal candidate is detail-oriented, professional, resourceful, and enjoys creating a positive and productive workplace environment. This position requires strong organizational skills, exceptional attention to detail, excellent communication abilities, and the capacity to manage multiple priorities in a fast-paced environment.
Responsibilities:
Field inbound communications
  • Answer phone calls/general email inquiries and route to the appropriate internal parties as needed. Coordinate scheduling
  • Set up meetings based on cross-functional availability for both internal and external stakeholders. Organize internal resources
  • Build out and maintain processes to keep files and office supplies organized and easily accessible. Liaise with visitors
  • Act as point person for office guests. Communicate policies and procedures
  • Alert employees of new processes, rules and regulations. Facilitate executive-level operations
  • Book travel, submit expense reports and send communications for high-level staff as needed.
Requirements:
High school diploma 2+ years' experience as an administrative assistant, receptionist, or office management role, preferred Excellent verbal and written communication skills Strong organizational, multitasking, and time management skills Ability to work independently while managing multiple priorities Professional demeanor and customer-service mindset Strong attention to detail and accuracy Self-motivated and a quick learner Proven ability to work in a fast-paced environment Positive, high-energy attitude Resourcefulness, creativity, and problem-solving skill set Proficiency in Microsoft Office 365 (especially Teams, Sharepoint, Outlook, Word, Excel and PowerPoint) Proficiency with Adobe Acrobat Familiarity with office technologies, including printers, scanners, conferencing equipment, and related business tools.
