Overview We are seeking a dependable, organized, and proactive Office Manager/Administrative Assistant to join our small, fast-paced business. This is an important role responsible for keeping the day-to-day administrative and office operations running smoothly. The ideal candidate is detail-oriented, comfortable managing multiple responsibilities, and able to work independently while supporting employees, management, customers, and vendors. We are looking for someone who takes initiative, communicates professionally, and can help maintain an organized and efficient workplace. Responsibilities Manage daily office operations and general administrative responsibilities Maintain organized business records, files, and documentation Answer and manage multi-line phone systems and communicate professionally with customers, vendors, and employees Schedule and coordinate appointments and maintain calendars Greet customers, visitors, and vendors in a professional and courteous manner Manage Accounts Payable and Accounts Receivable Process invoices, payments, and other financial records Perform bookkeeping duties using QuickBooks Assist with payroll processing and maintain accurate payroll records Track expenses and assist with financial reports and other accounting-related administrative tasks Maintain confidential employee and personnel records Assist with employee onboarding and other basic human resources functions Coordinate with vendors and service providers Order and maintain office supplies and inventory Coordinate office maintenance and services as needed Assist management with additional administrative and operational tasks Help maintain a professional, organized, and positive work environment Qualifications & Skills Previous experience in office management, administration, bookkeeping, or a similar role Strong organizational and time-management skills Ability to prioritize and manage multiple responsibilities in a fast-paced environment Experience with QuickBooks Experience with Accounts Payable and Accounts Receivable Experience with payroll processing preferred Proficiency in Microsoft Office , including Word, Excel, and Outlook Strong written and verbal communication skills Professional phone and customer-service skills High attention to detail and accuracy Ability to handle confidential employee and business information appropriately Experience with employee onboarding and basic HR administrative functions preferred Comfortable using office equipment, including multi-line phones, printers, and scanners Ability to work independently, take initiative, and follow through on responsibilities We are a small business where every team member plays an important role.
