Job Summary Van Buren Homes, Inc. is seeking an experienced, highly organized and professional Office Manager to oversee the day-to-day administrative and financial operations of our residential cooperative community. This is a salaried position requiring a candidate who is comfortable simultaneously balancing accounting responsibilities, office management, resident relations, office staff supervision and administrative support to the Board of Directors. Responsibilities Manage the daily administrative operations of the Van Buren Homes office Maintain accurate corporate and financial records Manage accounts payable, invoicing, deposits and account allocations Process payroll and maintain employee vacation, sick and PTO records Perform bank reconciliations and assist with month-end financial closing Maintain and process escrow transactions Prepare monthly financial and management reports for the Board of Directors Assist the Board and Treasurer with preparation of the annual operating budget Prepare documentation and financial records for annual audits Supervise office personnel and coordinate daily office responsibilities Assist with employee hiring, evaluations and other personnel matters in cooperation with the Personnel Committee and Board of Directors Respond professionally to shareholder/resident questions, concerns and requests Prepare agendas, correspondence, notices and other materials for Board and Shareholder meetings Prepare and maintain accurate meeting minutes and corporate records Assist with annual shareholder election preparation and administration Maintain confidentiality and protect sensitive resident, employee and corporate information Ensure compliance with applicable Fair Housing requirements and established Board policies Coordinate with outside vendors and contractors when necessary Qualifications The successful candidate should possess: 3-5 years of office management or comparable business-management experience Strong accounting and bookkeeping knowledge Experience with QuickBooks Proficiency with Microsoft Word and Excel Strong written and verbal communication skills Excellent organizational skills and attention to detail Experience preparing financial reports, reconciling accounts and processing accounts payable Payroll experience Ability to supervise and work effectively with office personnel Ability to interact professionally and respectfully with residents, Board members, employees, vendors and the public Ability to handle confidential and sensitive information Ability to manage multiple priorities and work effectively under pressure Valid Pennsylvania driver's license Experience in business management, residential communities, cooperatives, homeowner/community associations or a related field is preferred. Schedule Full-time. Attendance at scheduled Board meetings and quarterly membership meetings is required. Some flexibility in scheduling is therefore necessary.
