WEST MANCHESTER TOWNSHIP AUTHORITY OFFICE MANAGER JOB DESCRIPTION
Position Summary The Office Manager is responsible for overseeing the day-to-day administrative operations of the West Manchester Township Authority office. This position serves as a primary point of contact for customers, vendors, employees, and other stakeholders while supporting the General Manager and Assistant General Manager with administrative coordination, reporting, financial processes, and office management functions. Essential Duties and Responsibilities
- Serve as the office's primary point of contact by answering phone calls, greeting visitors, opening correspondence, and directing inquiries to the appropriate staff member.
- Coordinate with the General Manager and Assistant General Manager regarding final meter reads, customer maintenance issues, and other administrative matters.
- Process invoices, assist with office budget tracking, and help maintain accurate financial and administrative records.
- Complete general administrative tasks, including filing paperwork, maintaining records, preparing documents, and updating employee information as needed.
- Assist the General Manager with required reports, correspondence, forms, and other operational documentation.
- Work with the payroll processor to support accurate and timely payroll-related administration.
- Coordinate with auditors and provide requested documentation to support completion of the annual audit.
- Maintain confidentiality of employee, customer, financial, and Authority-related information.
- Support efficient office operations by identifying administrative needs, organizing priorities, and assisting with other duties as assigned. Qualifications
- High school diploma or equivalent required; additional coursework or training in business administration, accounting, office management, or a related field preferred.
- Prior administrative, office management, bookkeeping, payroll, or customer service experience preferred.
- Proficiency with common office software, including Microsoft Office; experience with QuickBooks or similar accounting software preferred.
- Ability to organize work, manage multiple priorities, meet deadlines, and adapt to changing office needs.
- Strong written and verbal communication skills, including the ability to prepare professional correspondence, reports, emails, and phone communications.
- Strong attention to detail and accuracy when preparing, reviewing, and maintaining documentation.
- Ability to work cooperatively with employees, customers, vendors, payroll providers, auditors, and other outside parties.
- Sound judgment, discretion, and the ability to handle confidential information appropriately.
Working Relationships The Office Manager works closely with the General Manager, Assistant General Manager, Authority staff, customers, vendors, payroll processors, auditors, and other professional service providers to support effective office administration and customer service. Physical and Work Environment Requirements This position is primarily performed in an office setting. The employee must be able to use standard office equipment, communicate by phone and email, review documents and records, and perform routine administrative duties. Pay:
$20.00 - $22.00 per hour Expected hours: 40.0 per week
