Full-time -1099 Job Summary The Office & Fleet Operations Manager oversees daily administrative functions, processes routine payroll, manages driver operations, and handles fleet compliance reporting, including International Fuel Tax Agreement (IFTA) and International Registration Plan (IRP) filings. This role requires a hands-on, bilingual (English/Spanish) professional with a CDL background to directly support drivers, oversee dispatch operations, and ensure compliance across the fleet.
Key Responsibilities Driver & Fleet Management:
Supervise, schedule, and support commercial drivers to ensure on-time deliveries and route efficiency. Oversee driver qualification files, DOT physicals, drug testing compliance, and Electronic Logging Device (ELD) hours-of-service monitoring. Serve as a direct point of contact for driver questions, performance feedback, and on-road troubleshooting.
Fleet & Transportation Compliance:
Process, compile, and file quarterly IFTA returns and manage annual IRP registrations and renewals. Maintain accurate mileage, fuel logs, and fleet records to meet state and federal safety guidelines. Track vehicle maintenance schedules, permits, and license renewals.
Payroll & Financial Support:
The ability to process weekly or bi-weekly payroll if needed. Assist with basic accounts payable, accounts receivable, and invoicing.
Office Administration & Communication:
Manage day-to-day office operations, inventory supplies. Provide bilingual translation and communication support (verbal and written) between management, drivers, and customers.
Qualifications & Requirements License & Driving Experience:
Valid Class A Commercial Driver's License (CDL) with a minimum of 2 years of verifiable CDL driving experience required. Office Manger is required to drive and complete daily tasks(required). Frameless end dump experience is a plus.
Language:
Fully bilingual in English and Spanish (required).
Work Experience:
2-4 years of experience in office management, fleet operations, payroll processing, or transport compliance.
Compliance Knowledge:
Hands-on experience with IFTA reporting, IRP fleet registrations, DOT compliance regulations, and ELD monitoring.
Technical Skills:
Proficiency in Microsoft Office (especially Excel), payroll platforms, and fleet management software.
Soft Skills:
Strong leadership, excellent organizational skills, and effective cross-cultural communication abilities.
Pay:
