Office Manager Atlantic Marine Corporation Portsmouth, NH Join a Growing Marine Services Company Atlantic Marine Corporation is a rapidly growing marine contractor based in Portsmouth, New Hampshire. We provide marine repair, vessel maintenance, fabrication, marine construction support, government contracting, and waterfront logistics throughout New England. Our customers include commercial vessel operators, federal agencies, defense contractors, and maritime organizations that depend on us to keep critical projects moving. We're looking for an organized, motivated Office Manager who enjoys wearing multiple hats and wants to grow with our company. This is a key position that helps keep our operations running smoothly while supporting both our office staff and field crews. Job can be remote with one office day a week or as needed. Responsibilities Manage day-to-day office operations Answer phones and respond to customer inquiries professionally Prepare proposals, quotes, invoices, purchase orders, and customer correspondence Coordinate with project managers, vendors, subcontractors, and customers Maintain project documentation and contract files Track equipment rentals, vendor invoices, and project billing Assist with government contract paperwork, compliance documentation, and customer portals Schedule meetings, travel, and company events Coordinate office supplies and vendor relationships Support accounting by organizing receipts, invoices, and financial documentation Help keep projects organized by tracking deadlines and following up on outstanding items Assist ownership with special projects and business development initiatives Qualifications 3+ years of office management or administrative experience preferred but not required. Strong organizational and multitasking skills Excellent written and verbal communication Proficiency with Microsoft Office (Word, Excel, Outlook) Experience with QuickBooks Ability to prioritize work in a fast-paced environment Professional attitude with strong customer service skills High attention to detail Ability to work independently while supporting a team Preferred Experience Experience in one or more of the following is a plus: Marine industry Construction Shipyards Government contracting Defense industry Logistics or transportation What We're Looking For We aren't looking for someone who simply answers phones—we're looking for someone who becomes an important part of the team.
