Responsibilities Manage daily office operations to maintain an organized and welcoming environment Coordinate and schedule meetings, appointments, and travel arrangements for executives and team members, utilizing calendar management tools with precision Handle vendor relationships by negotiating contracts, managing procurement processes, and ensuring timely delivery of services and supplies Oversee bookkeeping tasks using accounting software such as QuickBooks, including invoicing, expense tracking, payroll processing, and financial record keeping Support human resources functions by managing confidential employee information, assisting with onboarding processes, and coordinating staff development initiatives Maintain accurate financial records through meticulous bookkeeping, budgeting support, and financial software management Ensure compliance with company policies regarding confidential information handling and data security Communicate effectively with clients, vendors, and internal teams via phone etiquette and professional correspondence Requirements Proven experience in office management or administrative roles with supervisory responsibilities Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with advanced spreadsheet skills for budgeting and data analysis Hands-on experience with accounting software such as QuickBooks or similar financial tools; familiarity with bookkeeping practices is essential Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-moving environment Knowledge of human resources procedures including payroll processing and employee onboarding Exceptional communication skills—both verbal and written—with a professional phone etiquette Ability to handle confidential information discreetly while maintaining high levels of integrity Technical proficiency in office equipment management along with troubleshooting skills for common software issues A proactive attitude coupled with strong problem-solving capabilities to anticipate needs before they arise Join us if you're ready to bring your organizational talents to a vibrant workplace where your contributions truly make a difference!
