Job Description

Job Overview We are seeking a dynamic and highly organized Office Manager, US Operations to oversee daily operations, ensuring the smooth and efficient functioning of our office environment. This role coordinates operations for our US sites, including but not limited to, office services, management support, managing vendors, and preparing vendor invoices and payment documentation for approval. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while maintaining accuracy and confidentiality. This role will be mainly based in Columbia, TN but may require some travel to other locations in Niagara Falls NY, Yabucoa PR and Welland ON Canada. It is expected that this role will be a hybrid role to start with a progression to 100% on-site as operations increase.
Key Responsibilities Office Management:
Manage day-to-day office operations and ensure smooth administrative functions. Oversee vendor management, including coordinating services, and ensuring timely delivery of supplies and services. Manage office, equipment, and facility maintenance. Lead administrative functions such as filing, manage office records/documentation, and maintaining confidential information with integrity. Assist with onboarding activities, office logistics, and resource planning. Ensure compliance with company policies and operational standards. Manage budgeting processes related to office expenses, supplies, and vendor payments to ensure fiscal responsibility. Ensure compliance with organizational policies while maintaining high standards of customer service and communication with clients and internal teams.
Accounts Payable Support:
Receive, review, and process vendor invoices for accuracy and completeness. Verify invoices against contracts, purchase orders, and supporting documentation. Maintain organized accounts payable records and documentation for audits. Assist with month-end reporting and financial recordkeeping as needed.
Administrative Support:
Prepare reports, presentations, and correspondence. Manage calendars, scheduling, and administrative deadlines. Support senior leadership with operational and administrative needs. Handle confidential information with discretion and professionalism.
Qualifications and Experience Requirements:
Associate's or Bachelor's degree in Business Administration, Operations Management, Accounting, or related field preferred. 3+ years of experience in office management, operations management, administrative leadership, or a similar role. Strong knowledge of Microsoft Office Suite, particularly Excel, Word, and Outlook. Experience with accounting or ERP software preferred. Excellent organizational, communication, and problem-solving skills. Ability to prioritize tasks and meet deadlines in a fast-paced environment. High attention to detail and accuracy. Strong time management skills and project coordination Independent worker with ability to act professionally and maintain confidentiality
